Job description

Client Service & Operations Associate

Are you highly organized, detail-oriented, and passionate about providing exceptional service? Our client is seeking a dependable Client Service & Operations Associate to support client service, scheduling, paperwork, CRM management, and daily business operations. This is an excellent opportunity for someone who enjoys keeping things organized, following through on important details, and serving as a trusted resource to both clients and internal team members. Financial services experience is helpful but not required—they are willing to train the right candidate! Salary: $50,000–$65,000 annually Schedule: Monday–Friday, 8:00/8:30 a.m.–4:30/5:00 p.m. Work Arrangement: Hybrid flexibility, with in-office attendance required for training, meetings, and team needs What You'll Do:

  • Serve as a professional point of contact for routine client service needs
  • Respond to client calls and emails and coordinate follow-up activities
  • Communicate with financial institutions to gather information and resolve outstanding items
  • Schedule client meetings and coordinate calendars
  • Prepare meeting materials, client forms, statements, and supporting documents
  • Prepare and process new business paperwork while tracking outstanding requirements and signatures
  • Maintain accurate client information, notes, tasks, and workflows within Salesforce and other internal systems
  • Keep client records and electronic files organized, accurate, and up to date
  • Track action items and help ensure deadlines and follow-up tasks are completed
  • Support administrative projects, correspondence, mailings, client events, and other team initiatives
  • Identify opportunities to improve workflows and support efficient day-to-day operations
  • Handle confidential client information with professionalism and discretion

What We're Looking For:

  • 2+ years of experience in customer service, administration, operations, or a professional office environment
  • Strong organizational skills and exceptional attention to detail
  • Ability to manage multiple priorities and follow tasks through to completion
  • Strong communication and customer service skills
  • Proficiency with Microsoft Office, including Excel
  • Comfort working with spreadsheets, databases, CRM systems, and other technology
  • Strong critical-thinking and problem-solving abilities
  • Ability to maintain accuracy in a highly regulated and detail-focused environment

Experience in financial services, banking, insurance, accounting, legal services, or another detail-intensive professional setting is preferred but not required. Experience with Salesforce, CRM systems, Microsoft Copilot, or other business applications is a plus.
