Job description

Front Desk Associate

We are growing! PanCare of Florida is looking for a friendly and detail-oriented Front Desk Associate to join our team. In this role, you will be the first point of contact for our patients, ensuring they feel welcomed and supported from the moment they walk through our doors. This position is located at our Port St. Joe Clinic.

Your responsibilities include the following:

  • Communicate effectively with corporate management, administrative personnel, and medical staff across the health system.
  • Answer clinic phone calls and direct them to the appropriate department.
  • Schedule patient appointments in accordance with daily provider quotas, ensuring efficient appointment management.
  • Check in patients and notify the clinical staff of their arrival.
  • Collect fees for services rendered and assist in checking patients out.
  • File and organize patient charts in the Records Room, ensuring proper documentation and easy retrieval.
  • Confirm patient appointments for the following day as assigned.
  • Assist in processing and sending patient chart information to the appropriate entities, ensuring all required authorizations are obtained, documented, and filed.
  • Submit record requests to other entities with properly executed patient authorization forms, documenting actions, and filing requests in the patient's chart.
  • Assist in verifying patient eligibility for sliding scale fees, ensuring proper documentation.
  • Support patient billing tasks assigned by the Clinic Manager and/or Medical Operations Director.
  • Balance the day sheet and manage cash, checks, and credit card receipts.
  • Keep an accurate daily postage log.
  • Assist in maintaining an efficient and smooth clinic front office, performing additional tasks as needed, as directed by the Clinic Manager or Director of Medical Operations.
  • Escalate complex scheduling, patient concerns, and unresolved issues to the Senior Front Desk Associate (Medical) or leadership per protocol.
  • Maintain regular and predictable attendance to support clinic operations.

Required Qualifications:

  • At least 6 months experience in a customer service or patient-facing position
  • Experience managing multiple tasks, including answering phones, scheduling appointments, maintaining patient records, and processing payments
  • Experience using electronic health records (EHR) systems, scheduling software and office equipment
  • Knowledge of HIPAA and patient confidentiality standards
  • Strong verbal and written communication skills

Preferred Qualifications:

  • Experience in a healthcare administrative environment
  • At least 2years experience in a customer service or patient-facing position
