What is the opportunity?
This position will be onsite 5 days per week.
The Executive Administrative Assistant will provide administrative support to senior management, manage scheduling, answer a multi-line phone, update reports/spread sheets and complete various other administrative tasks.
What are the primary responsibilities?
  • Manage complex calendars, scheduling, and meeting coordination.
  • Arrange travel, including itineraries and related logistics.
  • Serve as a point of contact for incoming requests, prioritizing and directing communications appropriately.
  • Draft, edit, and respond to correspondence with attention to tone, clarity, and professionalism.
  • Handle confidential information with strict discretion and professionalism.
  • Prepare, update, and maintain reports and spreadsheets.
  • Support basic budgeting and invoicing tasks, tracking, and administrative follow-up.
  • Assist with additional administrative projects and other duties as assigned.
  • Responsible for office manager duties such as organize division events, division supply management, and oversee office Receptionist/Administrative Assistant

Qualifications

  • Ability to manage multiple requests while staying calm, accurate, and responsive.
  • High level of discretion and comfort handling sensitive information.
  • Strong working knowledge of Microsoft Word, Excel, and email/calendar systems.
  • Professional judgment and the ability to represent leadership well in both written and verbal communication.

  • Essential:
    • A minimum of 5 years executive administrative experience (must have supported senior-level managers).
  • Preferred:
    • Customer Service or Hospitality experience is a plus.
    • Experience supporting executives is plus
