Job description

M3 Church is seeking a trustworthy, organized, and ministry-minded individual to serve as our Church Financial Administrator. This position oversees the church’s day-to-day financial operations while also serving as a welcoming and professional first point of contact for members, guests, vendors, and community partners.

The ideal candidate will possess strong bookkeeping and administrative skills, maintain confidentiality, communicate effectively, and work collaboratively with church leadership and staff.

Part-Time – 24 hours weekly

Generally, Monday–Thursday during normal business hours (occasional evening or weekend hours required for special events or seasonal church activities.

Primary Responsibilities

·         Ensure the front office operates in a welcoming, efficient, and professional manner for members, guests, and community partners.

·         Manage incoming communications, including answering phones, monitoring emails, and checking voicemails.

·         Track office expenses, maintain supply inventories, and coordinate vendor orders and service requests.

·         Maintain organized, up-to-date, and secure financial and administrative files

·         Process and accurately record all payables into QuickBooks, verify invoices, and maintain thorough vendor records.

·         Accurately log weekly contributions (cash, checks, online giving, PayPal, Cash App) into QuickBooks in strict adherence to internal controls and church policies.

·         Reconcile digital giving platforms and weekly deposits against financial records and bank statements.

·         Maintain precise, up-to-date donor contribution records while ensuring the absolute confidentiality of all financial data.

·         Prepare accurate excel spreadsheet capturing monthly donations, compile comprehensive monthly financial statements, and assist with annual financial reports.

·         Process bi-weekly/monthly payroll, manage contractor 1099s, and ensure strict compliance with nonprofit financial regulations and employment documentation

·         Act as a key support resource for the Senior Pastor, Board of Trustees, and various ministry leaders.

·         Attend committee and board meetings as requested, providing necessary administrative or financial insights

·         Perform other duties as assigned and deemed necessary for the effectiveness of church ministry


Preferred Qualifications

·         Experience processing digital payment platforms such as PayPal, Cash App, and online giving systems

·         Strong QuickBooks and bookkeeping experience required

·         Two or more years of administrative support experience required: nonprofit or church preferred.

·         Strong organizational and communication skills

·         Ability to maintain confidentiality and professionalism

·         Ability to work collaboratively within a ministry environment

·         Ability to manage multiple priorities, problem solve, meet deadlines, and work independently

·         Proficiency with Microsoft Office applications especially Word, Excel, Outlook and basic database systems.
