Status: Full Time
Position Summary:
The Doctor of Medical Science (DMSc) Program Coordinator provides administrative, operational, and student support for the DMSc program within the Department of Physician Assistant Practice in the College of Pharmacy & Health Sciences at Campbell University. The Program Coordinator works closely with the DMSc Program Director, department leadership, faculty, students, and university offices to support the day-to-day operations of the program and ensure efficient delivery of a fully online, asynchronous doctoral program for practicing physician assistants.
Essential Duties and Responsibilities:
Program Operations and Administrative Support
- Provide administrative support for all aspects of the DMSc program.
- Coordinate day-to-day program operations to ensure effective and efficient program delivery.
- Maintain program calendars, course schedules, meetings, and timelines.
- Coordinate onboarding and orientation activities for incoming students.
- Assist with organization and administration of doctoral capstone processes, presentations, and defenses.
- Maintain accurate program records, student files, and program documentation in accordance with university policies and accreditation expectations.
- Prepare reports, meeting minutes, correspondence, and other program-related documents.
- Assist with budget tracking, purchasing, travel coordination, and reimbursement processes.
- Coordinate adjunct faculty onboarding and related administrative processes.
- Support program assessment, annual reporting, and continuous quality improvement activities.
Student Support and Communication
- Serve as a key point of contact for current DMSc students.
- Provide guidance regarding program processes, registration, university resources, and program policies.
- Monitor and facilitate communication between students, faculty, and university offices.
- Assist students with scheduling, progression tracking, graduation requirements, and related administrative processes.
- Coordinate dissemination of program announcements, newsletters, and other communications.
Online Learning and Technology Support
- Assist faculty and students with learning management system processes and online course logistics.
- Coordinate with instructional technology and university support services as needed.
- Support virtual meetings, presentations, and online program events.
Admissions and Recruitment Support
- Collaborate with CPHS admissions and marketing personnel to support recruitment and enrollment initiatives.
- Assist with applicant communication, admissions processing, and interview coordination.
- Maintain applicant records and support admissions workflow processes.
- Coordinate recruitment events, virtual information sessions, and student outreach activities.
Collaboration and Professionalism
- Maintain confidentiality of student and program information in accordance with FERPA and university policies.
- Demonstrate professionalism, initiative, organization, and strong interpersonal communication skills.
- Foster a collaborative and student-centered environment aligned with Campbell University's mission and values.
- Perform other duties as assigned in support of the DMSc program and Department of Physician Assistant Practice.
Education/Experience:
- Bachelor's degree or equivalent in professional experience.
- Minimum of three years of progressively responsible administrative or program support experience, preferably in higher education, healthcare, or health professions education.
Knowledge, Skills, and Abilities:
- Broad knowledge of Campbell University policies and procedures, including, but not limited to: Title IX, HIPAA and FERPA guidelines.
- Proficient in Microsoft Word, Outlook, Excel, PowerPoint, and standard methods of digital communication, including web/text/chat platforms.
- Knowledgeable regarding use of Colleague, Informer, Egnyte, and virtual meeting platforms (Zoom, WebEx, and Teams). Familiarity with Blackboard, OnBase, and Taleo.
- Demonstrate tact, a positive attitude, courtesy, and discretion in dealing with faculty, staff, students, high-level university officials, and the public.
- Work independently as well as function effectively on a team and within a diverse group of people
- Exercise independent judgment in complex, new, and/or stressful situations
- Manage multiple concurrent projects and meet set deadlines.
- Adaptability, flexibility, and a willingness to work in a changing environment.
- Ability to work occasional evening or weekend hours.
