Now, nearly a decade later, Golden Harmony continues to provide exceptional care to seniors in the Triangle area, empowering them to live comfortably and safely at home.

Position Summary

The Scheduling Coordinator plays a key role on the Golden Harmony care team by organizing, scheduling, and communicating with clients and caregivers regarding all visits. In this role, you will help maintain our reputation for excellent customer service and support revenue growth by maximizing consistent, billable hours.

Key Responsibilities

· Perform daily staffing and scheduling to ensure visits are filled with consistent caregivers or companions.

· Participate in the after-hours on-call rotation to respond to urgent scheduling needs.

· Communicate with clients about their schedules, schedule changes, and follow-up needs in a professional and timely manner.

· Partner with Care Coordinators to match caregivers with appropriate clients based on skills, preferences, and availability.

· Monitor visits throughout the week and make necessary billing and payroll adjustments in the scheduling system.

· Create and maintain an accurate monthly visit calendar in the scheduling software.

· Re-staff call-outs and open visits quickly to maintain continuity of care.

· Support client satisfaction and help maintain a high Net Promoter Score (NPS).

· As needed, perform client visits and follow-up calls to support service quality.

· Meet or exceed weekly billable hour targets.

· Maintain proactive communication with the management team, providing feedback and requesting support as needed.

· Perform other related duties as assigned.

Qualifications

Education, Training, and Experience

· Preferred 2–3 years of scheduling experience in home care, home health, or senior living.

· Experience using an online scheduling system or similar software.

· Demonstrated active listening, effective communication, and strong interpersonal skills.

Skills and Competencies

· Strong written and verbal communication skills.

· Proficient with Microsoft Office (Word, Excel, PowerPoint) and Google tools (Gmail, Google Apps).

· Comfortable using a variety of office equipment (computers, scanners, copiers, fax, phone system).

· Experience building and maintaining staffing schedules in a fast-paced environment.

· Ability to work on-call, answering calls or texts to address urgent scheduling issues.

· Ability to think strategically while maintaining focus on short- and long-term scheduling goals.

· Strong organizational skills with the ability to handle multiple priorities simultaneously and pivot quickly as needs change.

· Valid driver’s license and reliable transportation for occasional travel within the territory.

Schedule and Reporting

· Full-time, exempt position working at least 40 hours per week during regular business hours.

· Required participation in the after-hours on-call program in addition to the regular schedule.

· Reports to the Director of Care Coordination.
