We are seeking a highly organized and hands-on Senior RMA & Logistics Specialist to manage the movement, tracking, troubleshooting, and resolution of hardware, inventory, and RMA activity across warehouses, data centers, contract manufacturers, 3PL partners, and internal teams.

This role requires someone who can independently investigate issues, identify root causes, improve processes, and maintain visibility across the entire hardware lifecycle. The ideal candidate thrives in a fast-paced environment with many moving pieces and enjoys solving complex operational challenges.

Key Responsibilities
  • Own RMA activity from authorization through receipt, inspection, repair, replacement, credit, scrap, and final closure.
  • Coordinate the movement, tracking, and resolution of hardware, parts, and inventory across data centers, warehouses, contract manufacturers, 3PL providers, carriers, and internal teams.
  • Partner with Engineering, Quality, Operations, Finance, Inventory, Receiving, Warehouse, and Contract Manufacturing teams to ensure RMA and logistics activities move efficiently through the process.
  • Coordinate shipment pickups, carrier activity, delivery confirmations, return receipts, replacement orders, and inventory transfers while maintaining visibility throughout the hardware lifecycle.
  • Verify incoming and outgoing units against RMA authorizations, inventory records, shipment documentation, packing lists, serial numbers, and system transactions.
  • Investigate delayed, aging, or stalled RMAs, shipments, receipts, and inventory discrepancies; identify root causes, implement corrective actions, and prevent recurrence.
  • Monitor open RMAs, overdue shipments, pending receipts, inventory variances, and unresolved action items while analyzing inventory reports, shipment records, and NetSuite transactions to identify discrepancies, reconciliation gaps, and process breakdowns.
  • Develop and improve operational workflows, documentation, reporting, and tracking processes to increase visibility, accuracy, and efficiency.
  • Maintain accurate records and status updates in NetSuite, Jira, Smartsheet, carrier portals, and other operational systems while leveraging Excel for reporting, reconciliation, and variance analysis.
  • Partner with Quality and Engineering to support inspections, failure analysis, disposition decisions, and prioritization of hardware requiring action.
  • Perform physical inventory verification, warehouse audits, serial number validation, inventory counts, and hands‑on issue investigation when needed.
  • Communicate status updates, risks, next steps, and resolution timelines to stakeholders while driving accountability and ownership across teams.
Requirements
  • 5+ years of experience in RMA operations, reverse logistics, inventory control, warehouse operations, shipping & receiving, manufacturing operations, or technical product support environments.
  • Strong hands‑on experience using NetSuite and experience working within Jira or other workflow/ticket management systems in an operational, logistics, inventory, RMA, manufacturing, or technical product environment.
  • Experience managing RMAs, warranty processes, shipment tracking, inventory verification, and exception management.
  • Advanced Microsoft Excel skills including formulas, lookups, pivot tables, filtering, report comparisons, variance analysis, and reconciliation.
  • Strong analytical problem‑solving skills with the ability to investigate discrepancies, identify root causes, develop solutions, and drive issues to resolution.
  • Demonstrated experience developing, improving, documenting, or implementing operational processes and workflows.
  • Experience coordinating with contract manufacturers, 3PL providers, warehouses, repair vendors, or external logistics partners.
  • Ability to manage multiple open RMAs, shipments, inventory issues, and operational priorities simultaneously while maintaining a high level of accuracy and attention to detail.
  • Strong written and verbal communication skills with the ability to coordinate across Engineering, Operations, Inventory, Finance, Quality, Manufacturing, Warehousing, and Contract Manufacturing teams.
  • Comfortable working in both office and warehouse environments, including inventory verification, physical counts, serial number validation, and issue investigation.
  • Highly organized with a strong sense of ownership, urgency, accountability, and follow‑through.
Preferred Qualifications
  • Experience in hardware, electronics, semiconductor, AI hardware, robotics, manufacturing, depot repair, contract manufacturing, medical device, or other technical product environments.
  • Experience supporting reverse logistics, warranty administration, inventory reconciliation, exception management, or hardware lifecycle activities.
  • Experience leading process improvements, root‑cause investigations, workflow optimization, or operational troubleshooting initiatives.
  • Knowledge of international shipping, carrier coordination, import/export processes, and shipping documentation.
  • Lean, Six Sigma, continuous improvement, or operational excellence experience is a plus.
