Summary

The RMA (Return Merchandise Authorization) Specialist with Accounting Knowledge is a critical role responsible for managing the entire RMA process while ensuring accurate financial recording and reporting of returns and related transactions. This position requires a strong understanding of both customer service and accounting principles to streamline the return process, minimize financial discrepancies and contribute to overall business efficiency.

Responsibilities

RMA Processing:

  • Manage and process all customer product return requests in accordance with company guidelines and warranty terms. Must be familiar with restocking/reconditioning charges.
  • Verifies product eligibility for return/replacement/credit based on return product details through inspection, pictures and documentation. Ensure all supporting materials meet company standards.
  • Coordinates with customers, inside sales reps and warehouse teams to resolve return-related issues to ensure a seamless RMA process.
  • Handles discrepancies and address customer concerns regarding returns.
  • Knowledge of freight claims.

Inventory/Financial Management:

  • Manages internal adjustment to invoicing and inventory related to RMA’s or reshipped products.
  • Approves freight invoices related to RMA’s per company guidelines.
  • Enter specific data in excel spreadsheet to track for management reporting.
  • Investigate short payments and customer balances.
  • Other A/R tasks as needed – processing cash receipts and deposits, entering customer pricing structures, etc.

Requirements

Required Degree:

  • High school (Some college coursework preferred)

Experience:

  • 3+ yrs customer service/Dealing with returns or related such role/Knowledge in the waterworks, plumbing, distribution or similar industries.

Technical Skills:

  • Proficiency in using ERP platforms and basic data entry tools.
  • Strong proficiency in Microsoft Office Suite, especially in excel for data analysis and reporting.
  • Knowledge of inventory management software and processes.

Soft Skills:

  • Attention to detail and accuracy, crucial for updating records.
  • Strong organizational and prioritization skills. Strong multi-tasking needed.
  • Customer focus mindset.
  • Ability to work independently and to be part of a team.

Physical Demands:

  • Ability to sit for extended periods of time.
