Job description

Execute an efficient, effective, and service-first experience to TAN Advisors and clients. This work includes daily operational tasks to support TAN Advisory Teams. Work with Advisors and their Operations staff to develop efficient and compliant operations processes for paperwork submission and ongoing service of managed accounts and financial plans. Develop and keep strong relationships with key internal and external partners in support Advisory Teams.
Operations Specialist must have strong attention to detail and time management skills and the ability to gather facts, data, and documentation to independently make decisions on the efficacy and compliance associated with certain managed account and financial planning activities.
The Operations Specialist will serve as primary point of contact for TAN Advisory Teams and must show excellent communication skills, both written and verbal.
Qualified candidate should desire a fast-paced environment and exhibit flexibility and innovation of thinking.

DUTIES & RESPONSIBILITIES:

  • Review new account and financial plan paperwork, as well as custodial account set up at Fidelity and Schwab, to decide if submission is in good order. Follow-up with Advisory Teams as needed to educate and ensure compliance with all requirements prior to acceptance of new business.
  • Administer new account setup and ongoing maintenance of managed accounts in Black Diamond and Orion for multiple Advisory Teams submitting daily new business and servicing requests.
  • Utilize Advice-Pay to review financial plan payments, agreements, and deliverables for in good order submission.
  • Respond promptly to emailed inquiries from TAN Advisory Teams about TAN Operations, Technology, and Compliance processes and procedures.
  • Partner with Sr. Operations Specialist to learn and administer Advisory Services provided by TAN. This may include client account billing, performance reporting, revenue processing, outside RIA products, Client Forms, and client/Advisor book of business reporting.
  • Administer Home Office, Advisor, Field Staff, and Client access to TAN systems, ensuring compliance with policies and regulations on Advisor and Client data privacy.
  • Work independently to keep service level standards and deadlines.
  • Engage in multiple RIA operations disciplines and support efforts across team functions.
  • Participate in cross-organizational improvement projects that drive efficiencies and scale for both TAN and Thrivent distribution.
  • Apply Continuous Improvement principles to improve TAN Advisory Team experience.
  • Build partnerships that deliver consistent advisor and client experiences and issue resolution.
  • Consult (function as liaison) with corporate partners to uncover solutions to TAN ad hoc business issues.

Overall, we expect this contributor to:

  • Build and maintain a high quality and professional working relationship with team members, internal business units and all field professionals, may serve as primary customer contact as assigned.
  • Partner with managers and other team leaders in the development and implementation of business processes and programs, standard operating procedures, documentation and other support materials required for unit operation; and supports projects and special initiatives which support corporate growth and continuous improvement of operation.
  • Demonstrate quality customer service through detailed, accurate and prompt communications to the field and clients. Accurately completes various processing activities, provide high level technical expertise/guidance, and swings between teams as volumes warrant.
  • Effectively solve a variety of issues as encountered within the team with minimal direction. Performs quality control and review.
  • Assess inefficiencies and offer solutions that maximize the scale of our operations.

This role will interact with individuals within the Thrivent Advisor Network (TAN) home office, Thrivent Home office, TAN advisors and their office staff, all levels of TAN leadership, external vendors, external consultants and solution providers.

QUALIFICATIONS & SKILLS:

Required:

  • Four-year degree or minimum of five years financial services related work experience.
  • Passion for and experience with Registered Investment Advisor operational components
  • Working knowledge of industry leading third-party portfolio management and customer relationship management solutions
  • Familiarity with industry leading technology toolsets
  • Great interpersonal skills with financial advisors, office staff and internal operations experts enabling the achievement of common goals and effectively identifying and resolving service obstacles.
  • Proven ability to support advisor growth that aligns with regulatory compliance standards and company policies.
  • Process improvement mindset and ability. Demonstrated ability to improve processes. Continuous Improvement experience preferred.
  • Strong Microsoft tools skills - Excel, Word, PowerPoint

Preferred:

  • FINRA series 7 and 66 strongly preferred.
  • Specific working knowledge of Black Diamond, Orion, Fidelity and Schwab
  • Experience with Advisor and client account transitions to a Registered Investment Advisor is preferred.

The applicable salary or hourly wage range for this full-time role is $67,080.00 - $90,756.00 per year, which factors in various geographic regions.
