What is an RFP?

RFP stands for 'Request for Proposal.' It is a formal document that organizations use to solicit bids from vendors or service providers for a specific project or procurement. RFPs outline the requirements, scope of work, evaluation criteria, and submission instructions to ensure potential vendors understand what is needed. Responding to an RFP allows vendors to present their solutions and pricing, helping the issuing organization select the best fit for their needs.

What skills and qualifications are needed to thrive as an RFP specialist?

To thrive as an RFP Specialist, you need strong writing, project management, and analytical skills, often supported by a bachelor’s degree in business, communications, or a related field. Familiarity with RFP management software like RFPIO, Loopio, or Qvidian, and experience with CRM and document collaboration tools is typically required. Attention to detail, time management, and the ability to collaborate across departments are crucial soft skills in this role. These competencies ensure the timely delivery of compelling proposals that meet client requirements and help organizations win new business.

What are common challenges faced by professionals working in RFP management, and how can they overcome them?

RFP professionals often face challenges such as tight deadlines, coordinating input from multiple departments, and ensuring proposal compliance with client requirements. To overcome these challenges, strong project management skills and clear communication are essential. Many teams use proposal management software and standardized templates to streamline collaboration and increase efficiency. Building good relationships with subject matter experts also helps ensure timely and accurate information for proposals.

Job description

About Us
Wellington Management offers comprehensive investment management capabilities that span nearly all segments of the global capital markets. Our investment solutions, tailored to the unique return and risk objectives of institutional clients in more than 60 countries, draw on a robust body of proprietary research and a collaborative culture that encourages independent thought and healthy debate. As a private partnership, we believe our ownership structure fosters a long-term view that aligns our perspectives with those of our clients.
About the Role
The Company
Tracing its roots to the founding of the Wellington Fund in 1928, the original Wellington Management Company was incorporated in 1933. Wellington Management serves an extremely diverse mix of institutional investors located in over 60 countries. Our clients include public funds, central banks, insurance entities, endowments, foundations, mutual fund sponsors, retirement plan sponsors - both defined benefit and defined contribution - and many other types of institutions.
Wellington Management does not engage in any business other than managing money on behalf of our clients. Our mission is to exceed the investment objectives and service expectations of our clients worldwide, and by doing so, ensure the viability of the firm. In addition, we seek to be a leader, an innovator, and a symbol of integrity in the investment management business. As a private partnership whose sole business is investment management, our long-term views and interests are aligned with those of our clients.
We are committed to attracting a talented and diverse workforce, and to fostering an open, collaborative culture of inclusivity because we believe multiple perspectives lead to more informed investment and business decisions. As an Equal Opportunity Employer, we welcome people with diverse life experiences, fresh ideas, and specialized subject-matter expertise.
Overview
The Global RFP Team is seeking an RFP Writer to support the completion of prospect proposals, client questionnaires, and other strategic client deliverables. The team is responsible for producing high-quality RFPs (Requests for Proposals), RFIs (Requests for Information), DDQs (Due Diligence Questionnaires) that support both business development and client servicing efforts.
Through close partnership with product teams, client-facing teams, and subject matter experts across the firm, the RFP Writer plays a critical role in articulating Wellington's investment capabilities to clients and prospects. These deliverables help win new business, meet the complex reporting and due diligence requirements of existing clients, and ensure the firm's investment solutions are represented accurately, clearly, and consistently. The delivery of thoughtful, well-crafted questionnaires is a key component of both the sales process and ongoing client relationship management.
Responsibilities
Writing, coordinating, editing, and proofreading RFPs and RFIs, partnering with subject matter experts, product teams, and client-facing teams across the firm. This includes, but is not limited to:
  • Developing and maintaining content in our content management tool, Loopio, as well as proposing enhancements to existing responses

  • Leveraging firm tools and AI to draft and deliver high-quality questionnaire responses

  • Supporting the development, maintenance, and governance of content used across RFPs, RFIs, and other client-facing materials

  • Support the completion of quantitative aspects of RFPs and RFIs by retrieving, validating, and organizing data from a variety of internal sources using Excel and other firm tools.

  • Building deep cross-functional relationships across the firm, gaining exposure to investment products, client servicing, sales, and content strategy. Build strong foundation for career growth, given the breadth of partnerships and visibility gained through supporting global client and business development initiatives.

Qualifications
  • 1+ years of relevant investment industry experience is preferred

  • Strong writing and communication skills with high attention to detail

  • Strong quantitative and technical skills, with the ability to leverage Excel, Python, and other analytical tools to support deliverables and efficiency gains

  • A positive, collegial attitude and a high level of professionalism are essential

  • Individual must be an independent self-starter and a team player able to work on multiple assignments against strict and competing deadlines

  • Experience with content management third party software such as Loopio, Responsive, Rocket Docs, etc. is a plus

Not sure you meet 100% of our qualifications? That's ok. If you believe that you could excel in this role, we encourage you to apply and welcome a chance to review your background. We are dedicated to building and maintaining a diversified workforce and considering a broad array of candidates with a variety of skill, workplace experiences, and backgrounds.
As an equal opportunity employer, Wellington Management ensures that all qualified applicants will receive equal consideration for employment without regard to race, color, sex, sexual orientation, gender identity, gender expression, religion, creed, national origin, age, ancestry, disability (physical or mental), medical condition, citizenship, marital status, pregnancy, veteran or military status, genetic information or any other characteristic protected by applicable law. If you are a candidate with a disability, or are assisting a candidate with a disability, and require an accommodation to apply for one of our jobs, please email us at GMWTalentOperations@wellington.com.
