4LEAF is seeking a full time Marketing Assistant / Proposal Writer with excellent verbal and written communication skills, proven experience in marketing content management, and strong time management, organizational, and graphics skills. Working in a collaborative environment, this role will focus on proposal development and management of related marketing content.


The ideal person for this position will have a passion for marketing and will be able to create a professional and efficient marketing environment. The Marketing Assistant / Proposal Writer produces and ensures the delivery of top quality, on-time and effective proposals, qualification packages, presentations, etc. Assists the overall pursuit process to ensure that the overall theme, technical scope, staff qualifications, and project experience are accurate, up to date, well written, and graphically pleasing. The Assistant assists with the development, design, coordination, production, editing, proofing, and delivery of high-quality submittals and accompanying marketing materials. Provides input and collaboration to help establish priorities and protocols for responding to RFPs and other marketing-related enquiries. Provides the initial mock-up of proposals, presentations, and other marketing activities to the Proposal Manager in an accurate and timely manner.


RESPONSIBILITIES:


Proposal Development

  • Efficiently manage the proposal development process from RFP receipt to proposal delivery, against deadlines, and with minimal supervision.
  • Review and interpret requests for proposals (RFPs) to identify required content elements, win themes, and strategic messages.
  • Manage the gathering of proposal content by coordinating and communicating effectively with contributors to obtain and edit content.
  • Develop original proposal content as needed.
  • Draft proposals, manage reviews by stakeholders and subject matter experts, and obtain final proposal approvals.
  • Perform content assembly, editing, formatting, reviews, and production.
  • Ensure that all RFP technical requirements are met, proposals are tailored to prospective clients’ needs, content is relevant and accurate, and all text and graphical elements adhere to templates, brand guidelines, and visual presentation and communication standards.

Content and Data Management

  • Assist subject matter experts with the creation of reusable marketing information for use in proposals and other media.
  • Maintain accuracy and consistency of proposal content through fact-checking, version control, and quality assurance.
  • Assist with the development and/or implementation of internal software tools and processes to maintain the accuracy and integrity of all marketing content and data.
  • Maintain Microsoft Word, PowerPoint, Excel, and Adobe InDesign templates.

Other Marketing Responsibilities

  • Coordinate marketing events, sponsorships, and use of promotional materials.
  • Assist with the development of marketing communications projects including print collateral, advertising, web site content, email messaging/campaigns, social media, and presentations.
  • Utilize creative writing skills to craft engaging and impactful marketing messages.
  • Update marketing tracking systems and records.
  • Maintain inventory of proposal production materials, marketing collateral, and promotional items.
  • Perform competitive research as directed.
Requirements:

Minimum Qualifications:

  • Bachelor’s degree in English, Marketing, Journalism, Communications, or a related field preferred.
  • 1-3 years of proposal writing experience, preferably for B2B or B2G professional services. Alternatively, 3-5 years in a technical writer, advertising copy editor, or similar role will be considered as a substitute.
  • Strong project management skills with the ability to multitask, prioritize, and meet deadlines.
  • Experience in construction, architecture, engineering, or related industries preferred.
  • Excellent verbal and written communication skills, including strong editing and content organization abilities.
  • Ability to balance technical, business, and creative writing.
  • Proficiency with Microsoft Office applications (Word, Excel, PowerPoint, Publisher, and Outlook).
  • Experience with Microsoft Word templates, themes, styles, and advanced formatting functions.
  • Knowledge of visual design principles.

Working Conditions:

  • General office environment.
  • Regularly requires working in a seated position at workstation for extended periods.
  • Occasionally may require lifting to 20lbs.

4LEAF anticipates paying between $70,304 - $94,200 per year for this position, commensurate with experience.
