Job description

Events Coordinator

Mission: Cultivating environmentally sound, economically viable, community-focused farms and food systems

Position overview: We're seeking a community-service-oriented individual who thrives in a team setting and loves planning events to fill the role of our Events Coordinator. The purpose of this role is to lead Pasa's vision and strategy for providing valuable, welcoming, and accessible in-person and virtual events through strategic program development and logistical support. The Events Coordinator will serve as a leader and resource for the Events Team, balancing day-to-day support with larger strategic initiatives. Pasa's year-round events include our Sustainable Agriculture Conference as well as 40 to 60 annual in-person and virtual trainings and community gatherings.

This is a primarily remote position with in-person workdays and 2-3 annual in-person staff retreats. This position will require additional travel (approximately 2-4 times a month) throughout Pennsylvania and surrounding states to assist with regional events. All employees are required to attend our annual Sustainable Agriculture Conference, held each February in Lancaster, PA. Employees are required to reside in one of the following Pennsylvania counties: Adams, Bucks, Chester, Cumberland, Dauphin, Delaware, Franklin, Lancaster, Lebanon, Lehigh, Montgomery, Northampton, Perry, Philadelphia, York. Responsibilities

  • Ensure that our events are serving our core program goals, anti-oppression principles, grant deliverables, fundraising needs, and the needs and interests of our diverse audiences
  • Provide leadership and support to the Events Team while advancing strategic initiatives that strengthen and expand the organization's events program
  • Collaborate with internal and external stakeholders on long-term planning, program development, and other high-level organizational priorities
  • Develop and support the implementation of a cross-programmatic, mission and vision aligned event strategic plan
  • In coordination with the finance team, develop and manage the programmatic budget for all events programming, including the annual conference budget
  • Provide day-of-event support, including technical support for virtual events
  • Monitor and evaluate staff and attendee feedback to ensure programming is responsive and iteratively improved
  • Maintain registration systems for conference and year-round events
  • Support financial assistance systems, including communication, tracking, and reporting
  • Support grant reporting
  • Coordinate logistical support for meetings and events for cohort meetings, partner events, staff retreats, team trainings, etc.
  • Provide timely and friendly technical and administrative assistance to attendees, partners, and Pasa staff through email, phone, and virtual meetings
  • Represent Pasa on external boards and committees
  • Develop and manage a system for tracking, maintaining, and procuring event and meeting supplies, which will require collaboration with our communications team to ensure consistent availability of marketing materials
  • Provide support to various parts of the Conference, including programming, exhibitor support, the Kids Program, social offerings, and volunteer coordination
  • Meet regularly with internal teams

Qualifications

  • Extensive experience managing events of multiple types (virtual and in-person; short sessions and multi-day events; high production value and low-key events; small meetings and large events)
  • Experience designing, executing, and evaluating strategy for events programming and related processes
  • Excellent email, phone, and in-person communication and customer service skills
  • Demonstrated ability to manage logistics for multiple events along concurrent timelines
  • Experience with meetings and events that serve a variety of purposes, including, but not limited to, training, team building, problem-solving, fundraising, and outreach
  • Relevant experience leading remote and autonomous teams
  • Proficient in use of virtual event/meeting technology (e.g., Zoom, Google Meet)
  • Ability to travel throughout Pennsylvania (2-4 times monthly) and surrounding states from Maine to South Carolina (a few times a year) to assist with events and meetings

Preferred qualifications

  • Professional working proficiency in Spanish and English
  • Experience managing events and/or meetings for 300 or more attendees
  • Familiarity with Google Workspace (Gmail, Calendar, Drive, etc.)
  • Familiarity with CRM databases (e.g., Salesforce)

Compensation: This is a full-time position, funded through April 2028. The annual salary for this position is $68,250. After one year of employment, employees bilingual in English and Spanish are eligible for a $1,000 bonus. Benefits include health, vision, and dental insurance; company wellness plan contributions; pre-tax health and dependent care flexible spending accounts; 401K retirement match; flexible scheduling; fifteen paid holidays; and a generous leave policy, along with a work computer and peripherals provided, travel expenses, and mileage reimbursement.
