Position Summary

We are seeking a detail-oriented and service-driven Reservations Specialist to join our team during this pivotal time of growth. In this role, you will play a critical part in managing the reservation process for our vacation rental properties, ensuring guests receive the exceptional service for which Southern Sands is known, while also contributing to the success of our national expansion efforts.

As a Reservations Specialist, you will be a key point of contact for guests during the booking process, assisting with inquiries, securing reservations, and coordinating booking details across our portfolio. You will also have the opportunity to collaborate with our team to refine processes and implement innovative strategies to enhance the guest experience as we expand into new markets.

Responsibilities
  • Handle all aspects of the reservation process for our vacation rental properties, from initial inquiry through booking confirmation.

  • Respond to guest inquiries and booking requests via phone, email, and messaging platforms.

  • Assist guests in finding the most suitable vacation rental property based on their preferences and needs.

  • Manage the reservation calendar and update availability to ensure accurate booking information across all properties.

  • Process reservations, collect necessary payments, and provide guests with booking confirmations and relevant details.

  • Create and manage service tickets for maintenance issues, housekeeping requests, or other guest needs.

  • Coordinate with property owners and internal teams to ensure availability, seamless operations, and exceptional guest experiences.

  • Maintain accurate records of all reservations, payments, and guest interactions using our reservation management system.

  • Follow up on inquiries to try and capture reservations that were left unbooked.

  • Reach out to past stays to try and capture more reservations.

  • Analyze booking trends and feedback data to identify opportunities for improvement.

  • Provide regular reports on reservations, occupancy rates, revenue, and KPIs to leadership.

Required Qualifications
  • 2+ years of experience in hospitality, reservations, or customer service

  • Strong communication skills, both written and verbal, with the ability to build rapport with guests.

  • Exceptional problem-solving skills and the ability to think creatively in a fast-paced environment.

  • Highly organized, with the ability to multitask and prioritize effectively.

  • Proficiency in computer systems, including CRM tools, reservation management platforms, and VoIP phone systems.

  • A passion for hospitality and a commitment to delivering outstanding guest experiences.

  • Ability to work collaboratively in a remote environment while maintaining a high level of accountability.

Preferred Qualifications
  • Background in hospitality or short-term/vacation rental property management.

  • Experience working in a rapidly growing or expanding company.
