Job description

VetsEZ is seeking a Program Analyst to assist with Intake activities at the Department of Veterans Affairs. This position plays a critical role in coordinating program operations, tracking deliverables, and ensuring alignment between technical teams and business customers. This role will work closely with the Intake Lead, government client stakeholders, program architects, and business customers to support scheduling, process coordination, documentation generation, and other intake process activities. The ideal candidate is highly organized, detail-oriented, able to work in a fast-paced environment, and comfortable and knowledgeable working in a complex IT environment.

This position requires U.S. citizenship and the ability to obtain and maintain a Public Trust clearance.

Responsibilities

  • Assist in monitoring and responding to Intake inquiries from current and prospective customer.
  • Assist with scheduling Intake sessions, coordinating logistics with the Intake Team and customer staff, and facilitating meetings.
  • Support tracking Intake requests throughout the process and reporting on individual and collective request statuses.
  • Collaborate closely with the Intake Lead, government client stakeholders, and the program Architecture Team to provide coordination, track action items to closure, and provide follow-up support.
  • Interface with government customer stakeholders to clarify requirements, communicate updates, and manage task execution.
  • Manage Intake documentation, including working with customers, government client stakeholders, and the program Architecture Team to gather needed information, updating documentation, and routing and processing Intake documentation.
  • Maintain and organize internal knowledge repositories (e.g., SharePoint, Teams, or other collaboration tools).
  • Assist in the development of reports, briefing materials, dashboards, and documentation to support executive and stakeholder communication Identify and support Intake process improvements, both manually and automated.
  • Support quality assurance of deliverables by reviewing for completeness, consistency, and adherence to program standards.
  • Assist with data calls, program reviews, and audits, ensuring timely and accurate responses.
  • Update standard Intake documentation and process flows.
  • Contribute to PI Planning efforts.
  • Act in place of the Intake Lead when necessary.

Requirements

  • Bachelor's degree in Business, IT, Healthcare, or a related field.
  • 5+ years of experience supporting federal healthcare IT or program management initiatives.
  • Strong understanding of healthcare data domains and middleware architecture.
  • Demonstrated ability to provide customer support and guidance in real-time session environments.
  • Ability to translate technical concepts for non-technical audiences.
  • Strong understanding of project and program management principles, including experience with schedule tracking and performance monitoring.
  • Strong organizational skills with experience coordinating meetings, schedules, and multi-team activities.
  • Ability to lead and support activities across remote, multi-disciplinary teams under high-pressure timelines.
  • Proficiency with SharePoint, Microsoft Teams, Jira, and other collaboration tools.
  • Excellent written and verbal communication skills with the ability to track, document, and communicate across distributed teams.

Additional Qualifications

  • Prior experience supporting VA programs or healthcare IT initiatives.
  • Prior experience supporting IT intake functions.
  • Familiarity with health data management and interoperability.
  • Experience developing or maintaining project documentation.
  • Certifications such as SAFe Scrum Master, CAPM, or PMI-PBA.
