New Patient Coordinator Remote Austin, TX

Clinic - United States (Remote) About the Role We are seeking an extremely positive, people-oriented professional who is passionate about health, healthcare, and helping individuals take meaningful steps toward improving their well-being. Our established and growing functional medicine clinic serves patients both nationally and internationally. Our highly trained clinical team is dedicated to helping individuals with chronic conditions restore their health through practical, evidence-based care. We are excited to welcome an exceptional A-player to join our team. As our New Patient Coordinator, you will serve as the first point of contact for prospective patients and play a critical role in creating a welcoming and supportive introduction to the clinic. You will help individuals feel informed, comfortable, and confident as they explore whether our clinic is the right fit for their needs. This role focuses on patient acquisition and onboarding coordination, guiding prospective patients through the early stages of the care journey. You will lead prospective patient communication and outreach which focuses on answering key patient questions and helping ensure they feel our clinic is the right fit for their needs. Additionally, you will be assisting individuals in scheduling onboarding visits, and ensuring they complete the necessary steps prior to their first appointment. This position is ideal for someone who enjoys meaningful patient interaction, takes pride in being an ambassador of our clinic's skill, and is motivated to create a seamless and supportive experience from the very first touchpoint.

Primary Responsibilities

  • New patient acquisition
  • Serve as the first point of contact for prospective patients, answering important questions and helping individuals feel confident in beginning care with our clinic.
  • Support new patient outreach, including: Podium chats Clinic contact forms Incoming emails and voicemails Prospective patient phone calls
  • Answer FAQs and clearly explain our approach and onboarding pathway
  • Guide prospective patients through next steps with warmth and professionalism
  • Help prospective patients schedule onboarding visits and begin the new patient process
  • Conduct new patient onboarding visits
  • Prepare accurate and thorough charts for the clinical team
  • Help refine and improve new patient acquisition and onboarding systems
  • Ensure every prospective patient interaction reflects clarity, compassion, and professionalism
  • Contribute to maintaining an office culture that is helpful, organized, and enjoyable to be part of.
