Job description

Position Overview:

We are seeking a highly organized and proactive Executive Assistant to provide part-time support to the CEO in a hybrid work environment. This role pays between $40 and $45 an hour. This role is responsible for managing the CEOโ€™s daily workflow, calendar, and scheduling priorities to enhance efficiency and productivity. The ideal candidate is detail-oriented, anticipates needs, and ensures the CEO is well prepared for meetings, events, and travel.

Key Responsibilities:

  • Manage the CEOโ€™s daily schedule, calendar, and meeting priorities to support effective time management.
  • Coordinate and schedule meetings, appointments, conferences, and related logistics on behalf of the CEO.
  • Anticipate scheduling conflicts and proactively adjust plans as needed.
  • Prepare the CEO for meetings and events by confirming logistics, materials, and timing.
  • Handle business travel arrangements and manage travel expense reporting.
  • Process travel and expense reports using Concur.
  • Support overall organization and administrative flow for the CEO to ensure smooth day-to-day operations.
  • Serve as a reliable point of coordination for internal and external meeting logistics.


Qualifications:

  • Prior experience supporting senior executives, preferably at the C-suite level.
  • Strong calendar management and scheduling experience.
  • Experience coordinating business travel and processing expense reports.
  • Proficiency with Concur for travel and expense management.
  • Excellent organizational skills and strong attention to detail.
  • Ability to anticipate needs, manage competing priorities, and work independently.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office Suite and virtual meeting tools.

Additional Information:

  • This is a part-time role working 30 hours per week.
  • This is a hybrid position with a mix of meetings in person with CEO and remote work.
  • This role supports the CEOโ€™s business activities only and does not include personal assistant responsibilities.
