Job description

Job Title: Documentation Specialist Location: Vienna, VA, Winchester, VA or Pensacola, FL Type: Contract Contractor Work Model: Hybrid – onsite and remote Hours: 40.0 Responsibilities

  • Participate in the development and follow-up analysis of policy and process updates.
  • Provide end-user support for manuals and systems.
  • Ensure project deliverables are documentation tasks met in accordance with customers' expectations and timelines.
  • Build and maintain relationships with team members, management, business units, key stakeholders, and external contacts (vendors, etc.).
  • Conduct research and prepare reference materials, including writing, editing, formatting, and revising documentation for clarity, accuracy, and usability.
  • Manage projects from inception through implementation.
  • Identify, communicate, and resolve technical, tactical, and operational project issues and risks.
  • Maintain documentation library ensuring content is current, organized, and aligned with style guidelines.
  • Provide training to end users in the use of electronic manuals and reference materials.
  • Review proposed policy and procedure changes for technical adequacy, completeness, and compliance.
  • Administer and develop eNet content.
  • Ensure clear, concise, and effective communication of material.
  • Interact with various sub-teams to determine user requirements and specifications.
  • Organize policy and procedures according to set standards.
  • Recommend strategy for communications.
  • Serve on teams and task groups for projects/initiatives within the organization.
  • Write online reference material, instructions, and communications.
  • Perform other duties as assigned.
Requirements
  • Ability to work independently and in a team environment.
  • Experience in composing correspondence adhering to grammar and client standards.
  • Experience managing multiple priorities independently and/or in a team environment.
  • Experience researching, compiling, and documenting data, business processes, and workflow.
  • Experience working and participating in cross-functional, multi-dimensional teams and projects.
  • Working knowledge of PC and web/internet-based technologies, e.g., HTML, editing/authoring tools.
  • Desired: Working knowledge of client products, services, programs, policies, and procedures.
  • Basic database and presentation software skills.
  • Basic skill capturing and translating processes and requirements into understandable terms.
  • Basic judgment and initiative skills.
  • Basic verbal and written communication skills.
  • Effective organizational, planning, and time management skills.
  • Follow, interpret, and apply data/instructions to guidelines, procedures, practices, and regulations.
  • Desired: Associate's Degree in Communication Studies or equivalent experience.
  • Ability to compile, organize, and present information clearly and concisely.
  • Experience leading projects or initiatives of small to medium scope.
  • Experience mentoring less experienced staff.
  • Experience working with all levels of staff, management, stakeholders, vendors.
  • Significant experience in composing professional correspondence and managing multiple priorities.
  • Advanced knowledge of PC and web technologies, HTML, management, editing/authoring tools.
  • Knowledge of change management principles and practices.
  • Desired: Advanced knowledge of client’s products, services, and policies.
  • Working knowledge of project management tools like Microsoft Project.
  • Advanced organizational, planning, and time management skills.
