Admissions Coordinator

The Chestnut Hill School is seeking an Admissions Coordinator, starting August 31, 2026. The Admissions Coordinator plays a vital role in supporting the full enrollment lifecycle at The Chestnut Hill School. This position provides administrative and operational support to the Director of Enrollment Management & Financial Aid. The Coordinator serves as a welcoming first point of contact for prospective families, manages the application process, coordinates events and tours, and ensures accurate data management in the admissions platform. In addition, the Coordinator supports admitted student yield initiatives by helping cultivate strong relationships with accepted families and ensuring a seamless transition throughout the matriculation and onboarding process.

This 10-month role balances on-campus engagement with work-from-home administrative and outreach responsibilities. It requires strong organizational and interpersonal skills, as well as a genuine passion for independent school education.

Personal Attributes and Skills Required
  • Prospective Family Engagement: Serve as the initial point of contact for inquiries via phone, email, and in-person. Provide information about the school's programs, philosophy, and admissions process. Schedule and support campus tours, open houses, admissions events, and virtual information sessions.
  • Application Process Management: Assist families with completing applications in Ravenna. Process applications, track required materials (transcripts, recommendations, assessments), and prepare files for review. Coordinate applicant interviews, observations, and student visits.
  • Data & Systems Management: Maintain accurate and up-to-date records in the admissions database (Ravenna). Generate reports on inquiries, applications, and yield. Support data analysis for enrollment strategy.
  • Event Coordination: Help plan and execute recruitment events, including Open Houses, Student Revisit Day, and admissions-related programming. Support on-campus logistics and follow-up communications.
  • Enrollment Support: Collaborate on yield activities, admitted family communications, and transition support for new families.
  • Administrative & Operational Support: Manage calendars, correspondence, and filing. Prepare materials for committee meetings. Partner closely with the Associate Director and Director on special projects and daily operations.
  • Outreach & Marketing: Support targeted outreach to diverse communities. Help develop and distribute admissions materials. Represent CHS at local fairs and events when needed.
  • Other Duties: Contribute to a positive, inclusive office environment and perform additional tasks as assigned to support enrollment goals.
Prerequisites for the Position
  • Bachelor's degree and 2+ years of experience in admissions, enrollment management, administrative support, or a related field; independent school experience preferred.
  • Proficiency with database systems (Ravenna experience preferred) and Microsoft Office and/or Google Workspace.
  • Strong written, verbal, and interpersonal communication skills with the ability to engage warmly with families from diverse backgrounds.
  • Exceptional organizational and project management skills with strong attention to detail and the ability to manage multiple priorities in a fast-paced environment.

  • Proactively solutions-oriented with a creative, positive approach to problem-solving.
