The Registration Specialist is the first point of contact for patients, responsible for providing exceptional service while ensuring accurate registration, insurance verification, and payment collection. Strong customer service, attention to detail, and the ability to manage multiple priorities are essential to ensuring a positive patient experience and supporting the overall efficiency of the clinic.

Employment Type: Full Time

Shift: Mon- 7:30a-5p (Pain Management) Tue-Thrs- 7:30a-4p (Sleep Center), Fri- 7:30a-3p (Sleep Center)

Weekly Scheduled Hours: 40

Wage Range: $16.39-$22.95
Requirements:

- High school diploma/GED or higher education

Demographic Registration:

  • Interviews patients for visits via phone or in person to obtain complete andaccuratedemographic data.
  • Verifies and updates demographic information for every visit, regardless of how often the patientpresents forservice.
  • Supports virtual check-in workflows by verifying demographic, consent, and insurance information prior to visit start time.
  • Provides patient education on consent forms and compliance requirements.

Financial Registration:

  • Interviews patients for visits via phone or in person to obtain complete andaccuratepayer information.
  • Accesses software systems such as CHAMPS,Availity, Priority Health, etc., to verify insurance coverage anddeterminecorrect payer information.
  • Understands and follows protocol forreferringuninsured or underinsured patients appropriately.
  • Collectsappropriate paymentfor services.
  • Interprets and appropriately interviews patients for MSP questionnaire.
  • Collaborates with patients to ensure understanding of insurance coverage, deductibles, and co-payment responsibilities.
  • Provides insurance education and financial expectations in a clear, compassionate manner to improve patient understanding and reduce confusion.

Record Maintenance:

  • Scansandmaintainselectronic information accurately in the medical record to ensure data is accessible, secure,and confidential.
  • Responds to requests for records according to approved guidelines.
  • Ensures electronic and physical welcome packet materials and patient correspondence are stored andmaintainedin compliance with policy and privacy requirements.

Customer Service:

  • Schedules appointments for routine and walk-in patients, coordinating with the clinical team to support efficient patient flow and access to care.
  • Answers patient questions as needed and communicates visit status with patients, staff, and physicians.
  • Answers telephone calls and provides patient assistance related to registration, scheduling, and front-end access needs.
  • Responds to needs for interpreter servicesin a timely manner.
  • Introduces and encourages patient engagement in the patient portal.
  • Prepares and distributes welcome packets and patient communication materials (letters, forms, and instructions) to ensure a positive and informed patient experience.
  • Escalates patient needs or concerns to theappropriate team member (e.g., medication refill requests, walk-in patients requiring assessment, or urgent clinical messages).
  • Maintains patient rights and confidentiality.

Operational Excellence:

  • Supports department quality improvement activities and responds appropriately to change.
  • Participates in job-related learning experiences.
  • Ensurescompliance with policy, procedure, regulatory requirements, and ethical billing practices.
  • Provides information to referral sourcesin a timely manner.
  • Activelyparticipatesin initiatives to improve patient registration workflows, including virtual check-in and communication process enhancements.

-High School Diploma or GED Equivalentrequired.

-Associate's Degreein a related field preferred.

-Experience in Medical Office Front Desk/Reception preferred.

-Experience with electronic health record systems and virtual patient check-in workflows preferred.

-Understanding of medical terminology, insurance plans, and billing workflows.

-Excellent communication, organizational, and problem solving skills.
