This role is for a hybrid position for leaders who believe humility and accountability build strong communities.

TA System & Recruiting Program Coordinator (Contracted - Temporary) will be responsible for optimizing our recruitment infrastructure, streamlining our Applicant Tracking System (iCIMS), and launching key talent acquisition initiatives. This role focuses on process improvement, data reporting, training coordination, and expanding our community and academic partnerships. The ideal candidate is an iCIMS super-user who thrives on turning disorganized systems into efficient, scalable workflows while supporting hiring managers across the organization.


  • iCIMS Optimization & System Administration: Overhaul, streamline, and optimize iCIMS functionality, workflows, and advanced reporting to eliminate project backlogs and improve data integrity.
  • Template & Library Management: Update, standardize, and expand the Standard Job Template library within iCIMS to ensure consistency and compliance across all departments.
  • Hiring Manager Training & Support: Develop, facilitate, and track continuing quarterly training workshops for hiring managers on recruitment best practices and system usage (collaborating via Recruiter or HR Managers).
  • Onboarding Enhancements: Create, launch, and manage a new hire experience feedback survey to capture first-day impressions and identify actionable onboarding improvements.
  • Academic & Internship Program Development: Explore, design, and build foundational pathways for cross-departmental internship programs; establish and manage collaborative relationships with academia and educational institutions across the valley.
  • HRM Consultation: Partner with leaders, hiring managers, and the HR team to consult on position descriptions, requisition creation, and job advertising management.

  • Education: Bachelor’s degree in Human Resources, Business Administration, or equivalent practical experience.
  • Technical Expertise: Advanced, hands-on experience configuring and optimizing iCIMS is required. Must understand iCIMS reporting, template libraries, and workflow customization.
  • Experience: 3+ years of experience in Talent Acquisition Operations, Recruiting Program Management, or Human Resources.
  • Program Management: Proven track record of developing programmatic initiatives, such as university relations, internship programs, or training workshop facilitation.
  • Analytical Skills: Strong experience with data collection and analysis (e.g., designing survey feedback loops and analyzing talent metrics).
  • Communication: Exceptional interpersonal and presentation skills, with the ability to train internal teams and effectively represent the company to external academic partners.
  • Attributes: A self-starter who enjoys auditing processes, building structure out of ambiguity, and driving project timelines forward.

This is currently a specialist contractor role to address immediate capacity needs. If the project expands, we may convert to a full-time role.
