Job description

We're looking for a detail-oriented, energetic Recruiting Coordinator who thrives on creating exceptional candidate experiences, keeping recruiting operations running smoothly, and helping connect great people with great opportunities. 

This role plays a critical part in ensuring hiring processes run smoothly from interview scheduling through onboarding coordination. The ideal candidate thrives in a fast-paced environment, enjoys building relationships, has exceptional attention to detail, and is passionate about creating a polished and welcoming experience for candidates and hiring teams alike. This position partners closely with recruiters, hiring managers, People Operations, and cross-functional teams to help drive efficient, organized, and scalable hiring practices across the business. 

*This role requires onsite presence in Austin, TX 3-4 days a week*

In This Role 

Interview Coordination & Scheduling 

  • Coordinate and facilitate a seamless interview process across multiple teams, ensuring candidates and hiring teams remain aligned, informed, and prepared throughout the hiring journey 
  • Manage complex interview scheduling across recruiters, hiring managers, executives, and candidates, balancing competing priorities and time zones to minimize delays and improve hiring velocity 
  • Prepare and distribute interview materials, agendas, and logistics to ensure interviews are organized, consistent, and professionally executed 
  • Partner with recruiters and hiring managers to build effective interview panels and maintain momentum against hiring timelines 
  • Monitor interview scorecard completion and partner with hiring teams to encourage timely feedback and consistent hiring practices 
  • Provide operational and administrative support that enables the Talent Acquisition team to operate efficiently and deliver a high-quality hiring experience 

Candidate Experience 

  • Serve as a trusted point of contact for candidates throughout the recruitment process, creating a responsive, organized, and engaging experience 
  • Deliver clear, timely communication regarding interview schedules, logistics, and next steps to ensure candidates feel informed 
  • Ensure every candidate interaction reflects the company's culture, professionalism, and commitment to an exceptional hiring experience 
  • Coordinate candidate travel and onsite logistics to create smooth and positive interview experiences 

Recruiting Operations & Systems 

  • Maintain accurate and up-to-date candidate records within the Applicant Tracking System (ATS) to support reporting, compliance, and operational efficiency 
  • Manage job postings and job board distribution to ensure opportunities are visible, accessible, and accurately represented 
  • Monitor candidate progression through the hiring process, ensuring workflow consistency, data integrity, and adherence to recruiting processes 
  • Generate and maintain recruiting metrics and reports that provide visibility into hiring activity, process effectiveness, and pipeline health 

Offer & Hiring Support 

  • Support the offer process by preparing documentation, coordinating approvals, and ensuring a smooth and timely transition from candidate selection to hire 
  • Facilitate pre-employment requirements, including background checks, reference checks, and other hiring-related processes, to support a positive and compliant onboarding experience 
  • Partner closely with People Operations to ensure new hires are successfully transitioned into onboarding 

Employer Brand & Recruiting Programs 

  • Support recruiting events, career fairs, university partnerships, and hiring initiatives that strengthen the company's talent pipeline and employer brand 
  • Maintain recruiting materials, templates, and candidate-facing resources to ensure consistency, professionalism, and brand alignment across all hiring activities 

Employee Referral Program Administration 

  • Manage the day-to-day administration of the employee referral program, ensuring referrals are accurately tracked, routed, and processed in a timely manner 
  • Serve as the primary point of contact for employees participating in the referral program, providing visibility into referral status and process updates 
  • Monitor referral activity and maintain reporting on referral volume, conversion rates, and program effectiveness to support ongoing program success 
  • Partner with the Talent Acquisition team to promote employee participation, increase referral engagement, and ensure referral rewards are processed accurately and efficiently 

The Ideal Person 

  • 3+ years of experience in recruiting coordination in talent acquisition required 
  • Strong experience coordinating complex interview schedules across multiple stakeholders and time zones  
  • Exceptional organizational skills with strong attention to detail and the ability to manage multiple priorities simultaneously  
  • Strong written and verbal communication skills with a professional and polished approach to candidate and stakeholder interactions  
  • Comfortable working with calendars, scheduling tools, spreadsheets, and recruiting systems to support operational workflows  
  • Passion for creating a positive candidate experience and supporting a culture of excellence throughout the hiring processÂ
