Business Office Administrative Assistant Greater Jasper Consolidated Schools

The Business Office Administrative Assistant supports the financial operations of Greater Jasper Consolidated Schools by providing accurate, timely, and confidential administrative and accounting assistance to the Corporation Treasurer and Business Office. This position plays a key role in maintaining the district's financial records, supporting food service financial operations, assisting staff and the public, and ensuring efficient day-to-day business office functions. This position helps promote the responsible stewardship of district resources in support of student success.

Qualifications

  • Organizational Abilities:  Strong ability to organize, multitask, and prioritize work to meet deadlines.
  • Communication Proficiency: Excellent communication skills, both written and verbal, to effectively communicate with all levels of the organization and with external stakeholders.
  • Attention to Detail:  Keen attention to detail and accuracy in handling financial and administrative tasks.
  • Problem-Solving Skills:  Ability to identify problems and think critically to find solutions.
  • Discretion:  Ability to hand sensitive information with integrity and confidentiality.

Reports to

  • Superintendent

Responsibilities

  • Assist the Corporation Treasurer with accounting functions in the business office including but not limited to:
    • Claims coding and entry
    •  Bank statement reconciliation
    • Purchase orders and ordering
    • Financial reporting
  • Oversee food service management including the following duties:
    • Claims processing and entry
    • Account management
    • Fund reconciliation
    • IDOE application and reporting
    • Direct Certification and free/reduced lunch application management through MySchoolApps
    • General reception duties such as greeting visitors, answering telephone calls, etc.
  • Other duties as assigned

Requirements

  • Education:  Associate's Degree or higher in business administration, finance, or related field preferred.
  • Experience:  Prior experience in an administrative  assistant
  • Technical Skills:  Proficiency with Microsoft Office applications, particularly Excel
