JOB TITLE: Front Office Specialist


JOB SUMMARY: Welcome and greet patients and visitors. Responsible for optimizing the patientโ€™s satisfaction, keeping the reception and waiting areas running smoothly, obtaining all necessary patient demographic and insurance information


REPORTS TO: Front Office Manager

Requirements:

DUTIES/RESPONSIBILITIES: (This list may not include all the duties assigned)

ยท Welcomes patients and visitors, in person or on the telephone; answering or referring inquiries, determine needs and direct accordingly while exhibiting excellent customer service.

ยท Check patients in, verify and obtain the necessary demographic, insurance and financial information.

ยท Update and maintain the appropriate information into the electronic billing and medical record.

ยท Collect applicable copayments and balances due.

ยท Scheduling appointments and printing patient schedules as needed.

ยท Checks, sorts and delivers mail daily. Work through returned mail and update addresses, if available.

ยท Assess and notify clinical staff for patients with ambulatory difficulties.

ยท Communicates effectively and professionally with patients, visitors, physicians, and coworkers through various communication channels.

ยท Maintains a clean and orderly work environment by performing daily cleaning of general areas.

ยท Attend meetings as required and other duties as assigned.

ยท Adapts to changes in job responsibilities to meet the evolving needs of the health center

May perform additional job-related duties and responsibilities as needed to support patient care, departmental operations, and organizational goals.


REQUIRED SKILLS/ABILITIES:

ยท Work is performed in the reception and business office areas. It involves frequent contact with patients.

ยท Interaction with others is constant and interruptive.

ยท Work may require multiple assignments that require attention to detail. Several tasks are required on a continual basis.

ยท Ability to work a flexible schedule as needed.


EDUCATION/EXPERIENCE:

ยท Extensive knowledge of front office registration and scheduling processes

ยท Knowledge of medical terminology and privacy guidelines

ยท Excellent oral and interpersonal skills

ยท Ability to follow office and regulatory policy and guidelines

ยท Critical thinking and problem solving

ยท Ability to establish and maintain effective working relationships with patients, employees, physicians, and the public

ยท High school graduate or equivalent.

ยท Minimum of one-year work experience in the medical office setting required.


PHYSICAL REQUIREMENTS:

ยท Work may require sitting and standing for long periods of time; also stooping, bending and stretching for files and supplies.

ยท Occasionally lifting files or paper weighing up to 50 pounds.

ยท Work requires manual dexterity sufficient to operate a keyboard proficiently.

ยท Close visual acuity needed to view computer screens, paperwork and forms.
