Position Summary

The Office Manager is responsible for performing clerical and administrative duties in an office setting to the North/West Texas Rail team in the North Texas/Oklahoma District. This will include, but not be limited to, preparing various reports, providing financial analysis, coordinating purchasing and accounts payable activities, coordinating inventories, safety coordination, reconciliations, and various other accounting related duties.

Position is based in North Dallas, TX and will be an in-office position.

Requirements

  • Data entry in Excel spreadsheets to update various reports.
  • Basic bookkeeping tasks, Entering and receiving purchase orders, and researching discrepancies
  • Communicate with the Rail Logistics Manager, Sales Auditors, and other departments to research and resolve accounts payable issues
  • Take calls from haulers regarding billing issues, researching discrepancies, direct findings to appropriate personnel for resolution
  • Assist with collection of railroad ballast payments
  • Perform duties related to the following:andnbsp; computerized records maintenance, office management, accounts payable/receivable, truck scale shipping documentation, general ledger, production, finished goods/parts/supplies inventories, purchasing, and preparation of government and other regulatory reports as required.
  • Implement and maintain administrative procedures and internal controls in accordance with company policies and procedures
    • Clear the AP invoices on hold
    • Prepare monthly reconciliations
    • Help maintain SOX compliance
  • Provide coverage for the sales audit role on an as needed basis by:
  • Auditing daily sales data and working plant sales ticket exceptions
  • Reconciling credit card and cash sales, short payments, and unapplied cash
  • Serving as a point of contact for billing issues and handling any credit and rebilling corrections.
  • Some local travel may be required. Positions will largely be based at our Southwest Division office in Dallas, TX but may include limited travel when required.
  • Perform other duties as assigned

Preferred Education and Experience

  • Bachelor's degree in Business Administration or related field preferred, experience in-lieu of education may be considered
  • 1-3 years' experience in office management (mining or manufacturing/industrial facility a plus)
  • 1-3 years of clerical/accounting or other related experience

Knowledge, Skills and Abilities

  • Self-motivated; able to work independently
  • Highly proficient in MS programs (Word, Excel, PowerPoint and Outlook)
  • Proficient accounting knowledge and skills
  • Solid analytical skills
  • Excellent time management, planning, and organizational skills; capable of managing multiple tasks
  • Customer oriented with strong communication skills
  • Strong attention to detail
  • Familiarity with JD Edwards or similar system a plus

Physical Requirements

  • Ability to sit for extended time periods
  • Ability to work at least 8 hours per day plus overtime as necessary
  • Ability to lift up to twenty-five pounds
  • Ability to stoop, bend, squat and reach for activities such as filing
  • Ability to use a PC and perform data entry activities for extended time periods
  • Willingness and ability to travel locally up to 25% of the time.
