Job description

Job Title: Project Coordinator
FLSA Status: Exempt
Location: St. Francis, WI

Position Summary: As a Project Coordinator, you will manage and maintain a detailed project schedule, overseeing administrative tasks and all aspects of the project. Your role is crucial in delivering timely and accurate service to Quality Packaging customers by collaborating with various departments to process orders, communicate effectively, follow up with stakeholders, perform data entry, and ensure precise recordkeeping. Essential Functions/Responsibilities:
  • Attend daily internal materials meetings, populate customer tracker and be prepared to provide feedback (updates) on current accounts.
  • Attend scheduled customer meetings as assigned.
  • Receives incoming customer orders, verifies pricing and MOQโ€™s, creates orders within Maverik, maintain customer orders in QPI Maverik order tracker. This includes alignment of QPI dates / customer dates, including working with the client to update customer dates in customer system. To maintain on-time delivery.
  • Work on pre-press approvals on existing skuโ€™s (Part numbers) with changes, BOMโ€™s and quality changes.
  • Provide customer acknowledgements within 24 hours of PO receipt.
  • Communicates component needs to internal QPI department managers to ensure all materials are available to meet customer due date. This includes both QPI manufactured and Purchased items working with the Materials Purchasing team.
  • Communicates with customers to have all customer supplied components in house to meet order request dates.
  • Customer Reporting / End Of Day Reporting as assigned based on customer requirements.
  • Responsible for proper inventory counts by requesting cycle counts and confirming inventory accuracy through inbound receipts and order consumption for customer supplied materials. Establish proper timing of returning and scrapping this material.
  • Verifies proper inventory levels before releasing job as ready for production.
  • Communicate with Production teams and Shipping manager, provide necessary shipping information, including any shipping โ€œbudgetโ€ amounts on projects.
  • Ensure proper execution/communication of new projects PPAP if required, working with the QPI Production Team and QC Team to ensure proper forms and information is properly communicated to the customer. (PC responsible for providing this communication)
  • Ensure Accounting team completes invoices and report consumption in an accurate and timely manner.
  • Attend customer visits in-person internally or travel externally.
  • Other Duties as assigned.
