Job Overview:  The Assistant Purchasing Agent provides administrative and operational support to the Purchasing team by assisting with purchase orders, vendor communications, order tracking, documentation, and procurement activities. This role helps ensure timely material procurement and accurate purchasing records while supporting project teams and maintaining strong vendor relationships.

Key Responsibilities and Essential Tasks:

  • Assist Purchasing Agents with preparing and issuing purchase orders.
  • Review purchase requests for completeness and accuracy.
  • Communicate with vendors regarding pricing, availability, order status, and delivery schedules.
  • Track open purchase orders and follow up on outstanding deliveries.
  • Maintain purchasing records, vendor files, and procurement documentation.
  • Coordinate with Project Managers, Warehouse personnel, and Accounting to resolve purchasing issues.
  • Process order acknowledgments and update purchasing systems.
  • Assist with invoice reconciliation and purchase order discrepancies.
  • Obtain pricing and quotations from approved vendors.
  • Monitor supplier lead times and communicate potential delays to project teams.
  • Support inventory coordination and material tracking.
  • Perform additional administrative duties as assigned.

Knowledge, Skills and Abilities: 

  • 1–3 years of purchasing, procurement, administrative, or construction support experience preferred.
  • Construction industry experience is a plus.
  • Proficiency in Microsoft Office, particularly Excel and Outlook.
  • Experience working with ERP or purchasing software preferred.
  • Strong organizational and multitasking skills.
  • Excellent customer service and communication skills. 
  • Strong attention to detail.
  • Excellent organizational and time management skills.
  • Ability to work effectively in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Ability to establish positive relationships with vendors and internal teams.
  • Basic understanding of purchasing and procurement principles.
  • Willingness to learn and grow within the Purchasing department.

Physical Requirements:  

  • Ability to verbally communicate: convey detailed and accurate instructions and information.
  • Ability to hear with or without correction in order to receive and interpret detailed information.
  • Required to sit at a desk work station for long and short periods of time.
  • Push, pull, lift and carry at least 10 pounds.
  • Occasionally required to walk and stand.
  • Required to have visual acuity with or without correction in order to read and interpret contract information and view information on a computer monitor.
  • Required to use fingers and hands: type using a computer keyboard, handle, feel, and reach.
