How does a proposal writer typically collaborate with subject matter experts and other team members during the proposal development process?

A Proposal Writer often works closely with subject matter experts (SMEs), project managers, and business development teams to gather the technical, financial, and strategic information required for compelling proposals. This collaboration usually involves conducting interviews, facilitating content reviews, and coordinating input from various stakeholders to ensure the proposal is accurate and tailored to client needs. Effective communication and strong organizational skills are crucial to managing multiple contributors, meeting tight deadlines, and producing high-quality submissions. This teamwork helps ensure that the proposal aligns with both client expectations and company objectives.

What does a proposal writer do?

A Proposal Writer is responsible for creating documents that outline a company's products, services, or solutions in response to requests from clients or potential customers. Their main goal is to craft persuasive and clear proposals that showcase the value and benefits of their organization’s offerings, usually to secure new business or funding. Proposal Writers work closely with sales, marketing, and subject matter experts to gather information and tailor proposals to specific client needs. They must ensure proposals are compliant with client requirements and deadlines, and often manage multiple projects at once.

What are the key skills and qualifications needed to thrive as a proposal writer, and why are they important?

To thrive as a Proposal Writer, you need excellent writing, research, and organizational skills, often supported by a degree in English, communications, or a related field. Familiarity with proposal management tools (such as RFPIO or Loopio), content management systems, and sometimes APMP certification is valuable. Strong attention to detail, collaboration, and the ability to work under deadlines are critical soft skills. These skills ensure persuasive, compliant proposals that meet client requirements and increase win rates in competitive bidding environments.

What is a proposal writer?

Proposal writers compose documents to gain support for a project, enter into a business agreement, or convince clients to buy products and services. To complete the proposal, they usually work with a team to research a specific issue, conduct interviews, collect information, and organize the data before submitting the application or sending the contract to a client. Proposal writers may work for non-profit organizations or private companies, or they may be freelancers who work for many different businesses. Some proposal writers specialize in a specific industry, such as grant writing for non-profit organizations.

Job description

Company Description

At Coffman Engineers, we serve as both prime consultant and sub consultant on projects large and small, including commercial, retail, institutional, government, industrial, and project/construction management. Incorporated in 1979, we have employees in more than 23 locations serving clients across the United States and overseas.
To meet client objectives and to integrate our many disciplines, we can create teams comprised of civil, structural, mechanical, electrical, fire protection, and corrosion control, as well as commissioning professionals. This ability has made us a leader in the engineering and construction communities, and has strengthened our reputation as being progressive, innovative, and a great place to work.

Job Description

Are you a story-teller? Do you have a thorough understanding of the Hawaii and Pacific Rim A/E/C marketplace? Are you able to leverage your network to build and join winning teams? Then we want to hear from you!

Coffman Engineers is looking for the right individual to join our Honolulu office in the role of Marketing Manager. This is an exciting opportunity for someone with a passion for building relationships and writing proposals to join our team. The right candidate will focus on crafting winning proposals while supporting the office’s local and Pacific Rim marketing and business development strategy.

Marketing Manager duties:

  • Work hand-in-hand with marketing gurus, engineers, various departments, and subconsultants to gather intel, assess prospective clients’ needs, and evaluate the competitive environment.
  • Leverage your client network to serve as “matchmaker” by getting Coffman in the door with the right types of clients and positioning us on the best teams to pursue projects that are the right fit.
  • Develop and implement proactive, strategic plans to target specific clients, market sectors, and geographic regions throughout Hawaii and the Asia-Pacific.
  • Write a plain-English proposal with technically complex concepts that non-technical readers can understand. Each proposal is custom-written – it could be a single page or 30 pages. It could be in response to a government request for proposal or an architect’s request for qualifications. Every situation is different.
  • Assist with internal and external messaging through press releases and award preparation.
  • Support a variety of local and corporate marketing and BD initiatives.
  • Assume the title of master juggler. You will be the detail-focused, schedule-driven, multiple-hat-wearing, punctuation-enforcing, relationship-building marketing manager. You will have an eye for graphic design, a brain for strategic thinking, a passion for collaboration, and a passion for learning new concepts.

You don’t need to have a Ph.D. in technical writing or engineering for the position, but you should have practical, working knowledge of the processes involved in pursuing work through relationships and persuasive writing. A Bachelor’s degree is preferred but not required.

Qualifications
  • 5+ years of experience (preferably AEC industry experience)
  • A positive, can-do attitude and the desire to be part of a team.
  • A client-focused ability to communicate effectively, provide a high level of attention to detail, and handle simultaneous deadlines.
  • Strong written and verbal skills.
  • The ability to maintain flexibility within a large scope of responsibilities.
  • The ability to take direction and work independently while staying highly organized.
  • Proficiency with MS Office 365 programs (Outlook, Word, Excel, OneNote, and PowerPoint) and Adobe CC (InDesign, Photoshop, and Acrobat).

This is a job that requires use of both the left and right sides of your brain. Few people can do it well. For the right person, it’s a great job. Your application is your best opportunity to demonstrate the skills we’re looking for.

When you apply, please provide:

  • A single-page cover letter that briefly details your experience and describes what drives you personally.
  • A resume that includes your professional experience, achievements, and organizational involvement.
  • Work samples.  Proposals…press releases…strategic plans…we’d love to see them!

Please combine all files into one document to upload with your online application. We look forward to learning more about you!

Expected annual salary of $95,000 - $130,000.

This position is not eligible for sponsorship.
