Job description

The Senior Marketing Proposal Coordinator will work directly with Practice and Market leaders to create compelling and winning sales tools, bringing NELSON to life for our clients. Your strong work ethic, excellent communication skills, and ability to prioritize and handle multiple initiatives, and ability to navigate the internal customer relationship means that you can actively support Senior Practice Leadership in winning work. Must have Adobe experience and InDesign expertise. Experience in the AEC (Architecture, Engineering, and Construction) industry strongly preferred.

Main Responsibilities:
  • Establish Subject Matter Expertise (SME): You will immerse yourself in your aligned practice, becoming an SME around practice mission, portfolio, services and offerings, market drivers and trends, key competitors, key clients, value proposition and practice differentiators, key stats and awards/recognition.
  • Drive the Pursuit Process: You will assemble the pursuit team for kickoff, set and maintain the schedule, assign team roles and responsibilities, and manage deadlines and deliverables, setting milestones along the way. The key is working with the pursuit team to quickly understand what is necessary to communicate our value proposition and key differentiators.
    • RFX Analysis: Review/analyze in-bound proposal requests (such as RFP, RFQ, EOI, SOA, etc.) to develop a clear understanding of mandatory and point-rated criteria, as well as information required to inform Go/No Go conversations.
    • Project Management: Manage proposal schedules, milestones, and deadlines, coordinating with cross-functional teams, tracking progress, and ensuring timely submissions.
    • Proposal Closeout: Assist with internal proposal debriefs and other proposal close-out activities, report on proposal metrics as required.
  • Produce/create RFP/RFI/RFQ responses: This includes proposals, presentations, capabilities books, qualifications packages, case studies (in collaboration with Brand Marketing and Practice Leadership), resumes, boilerplate pieces and any other business development tools.
    • Proposal Development: Lead the end-to-end proposal development process from kick-off to post submission closeout. This will include being responsible for knowing where to find boilerplate, creating new content, and graphic design to produce high-quality, persuasive, and visually compelling proposals.
    • Content Creation: Tailor proposals and graphics to address the unique needs and preferences of each client, while staying on-brand, and conveying win themes and selling points. This will include finding and tailoring existing content, adapting existing resumes, project descriptions and boilerplate information.
    • Graphic Design Expertise: Create visually engaging graphics, illustrations, infographics, and layouts to enhance the visual appeal and clarity of proposals, presentations, and other marketing materials.
    • Formatting and Proofreading: Maintain a keen eye for detail by meticulously proofreading and formatting documents, ensuring they are error-free and consistent with the company's corporate messaging and branding guidelines, as well as being fully compliant with client requirements.
  • Support your fellow Sales Marketing Coordinators: While Senior Marketing Coordinators are aligned with a practice, we work together as a team to fill in gaps, connect the dots, and complete any departmental initiatives.
  • Continuous Improvement: Stay current on industry best practices, proposal trends, and emerging
    design techniques to enhance the quality and effectiveness of proposals and marketing materials.

Requirements:
  • Bachelor's Degree (preferably Marketing, Business, Journalism/Communications)
  • 5-7 years of proposal, writing, and marketing experience
  • InDesign expertise
  • Experience in the AEC (Architecture, Engineering, and Construction) industry strongly preferred
  • Ability to prioritize and manage time, meet tight deadlines, especially when working independently
  • Strong work ethic and excellent organizational, coordination, and communication skills
  • Experience with Adobe Creative Suite and strong graphic design/production skills
  • Inherent curiosity and resourcefulness to creatively problem-solve
