Job description

POSITION SUMMARY  

The Funded Programs Project and Events Manager provides support for a variety of initiatives hosted by the Center for Congregations, including the Evaluation and Communications Project, the National Initiative to Address Economic Challenges Facing Pastoral Leaders, the Young Adult Initiative, and other programs as assigned.  

The role also assists the Executive Director for Center Evaluation and Funded programs with event planning and hosting, contracts, and small grants administration, and other functions related to the administrative management of Funded Programs. This role delivers a professional first impression as a primary point of contact for grantees and contributes to the Center’s collaborative environment through a service-oriented approach to project administration. This role receives inputs from a variety of stakeholders, including the senior directors for each discrete initiative. 

This role is supervised by the Executive Director for Center Evaluation and Funded Programs. 

This is a fully grant-funded position, funded by multiple initiative grants, and will continue as long as funding for these or similar initiatives is available. Currently, this position is funded through December 31, 2028. All positions are at will unless local law indicates differently. 

SALARY RANGE: $65,000-$75,000 

RESPONSIBILITIES  

Event planning and support  

  • Coordinate participant registration for designated Coordination Program gatherings and events, both virtual and in-person  
  • Handle participant inquiries and communications  
  • Prepare all written and printed collateral, including participant handouts and nametags 
  • Order, assemble, pack, and arrange transport of materials for gatherings (nametags, printed documents, folders, and other supplies)  
  • Create and proactively manage event rosters and agendas  
  • Contract with venues to secure event space and book overnight rooms  
  • Arrange meals for in-person gatherings  
  • Provide tech and A/V support for gatherings and/or liaise with A/V vendors  
  • Support virtual gatherings by setting up Zoom links, managing participant entry to the room, recording meetings, and distributing appropriate post-event information  
  • Review and process participant reimbursements after events by receiving, compiling, and reviewing receipts and check requests  
  • Enter attendance data post-event and distribute appropriate post-event materials or information 
  • Prepare, mail, receive, and file consultant contracts  
  • Interface with guest presenters and consultants 
  • Assist with the preparation of PowerPoint presentations and documents using branded templates, including proofreading and formatting documents 
  • Manage event websites (Swoogo) and other public-facing websites (Kajabi) 
  • Prepare check requests and submit for payment 

Small grants administration  

  • Receive small grants proposals from grantees and track information using Center for Congregations data systems  
  • Perform first-round review of small grants proposals to verify complete applications 
  • Notify grantees of grant approval by formatting and distributing award letters on rolling basis 
  • Request, receive, and track grant reports on rolling basis 
  • Respond to grantee inquiries and other communications  

Other project management 

  • Maintain Sharepoint sites for each initiative 
  • Build and maintain Monday.com workspaces for use by each initiative and other staff collaborators 
  • Assist with annual reporting to Lilly Endowment  
  • Work with the communications and technology teams to request updates to public-facing Funded Programs websites 
  • Support special projects within Funded Programs at the direction of the Executive Director for Center Evaluation and Funded Programs 

ESSENTIAL QUALIFICATIONS  

• Previous experience in event management, particularly multi-day conferences in hotel or event venues with over 100 participants; comfort in partnering with hotel staff to provide exceptional hospitality to participants 

Experience or comfort with managing multiple stakeholders, including senior leadership 

Experience or comfort with potentially intense or quickly changing environments 

• Highly proficient in Microsoft suite of products and experienced in various database programs  

• Proficient in Internet purchasing and research  

• Knowledge of standard office equipment and administrative practices, including document and mail management systems

• Associate’s or Bachelor’s degree preferred
