Position Summary

The Events & Projects Coordinator serves as the operational backbone of SkillsUSA Ohio's event management team.

Working closely with the Senior Events, Projects & Operations Manager, this individual coordinates hundreds of project details that ensure statewide conferences, competitions, leadership events, board meetings, trainings, and special initiatives are executed with excellence.

The ideal candidate thrives in organized environments, enjoys solving problems, communicates exceptionally well, and takes pride in creating outstanding experiences for students, educators, volunteers, and industry partners.


Primary Responsibilities

Event Coordination

Coordinate logistics for statewide conferences and competitions

Maintain project timelines

Assist with venue coordination

Coordinate registration support

Prepare event materials

Manage event supplies

Coordinate room layouts

Assist with event setup and teardown

Support on-site operations

Coordinate volunteer needs

Track deadlines


Project Management

Maintain Monday.com project boards

Update project schedules

Coordinate deliverables

Track action items

Maintain SOP documentation

Support cross-functional initiatives

Prepare meeting agendas

Take meeting notes

Follow up on assigned action items

Maintain project documentation

Vendor & Partner Coordination

Communicate with vendors

Schedule meetings

Track contracts

Confirm deliveries

Coordinate catering

Support hotel coordination

Maintain vendor database

Assist sponsor logistics

Administrative Support

Prepare reports

Manage shared calendars

Maintain digital files

Create meeting packets

Process event documentation

Track invoices

Coordinate mailings

Support board meetings

Assist with travel coordination

Customer Service

Respond to advisor questions

Support students

Communicate with volunteers

Assist judges

Help industry partners

Provide exceptional customer service


Qualifications

Bachelor's Degree preferred

OR

Equivalent event coordination experience

Two or more years coordinating events, projects, hospitality, nonprofit operations, education, or conferences preferred.

Excellent organizational skills
