Job description

Job Summary / Responsibilities:
The Project Coordinator supports the successful execution of projects by partnering closely with the Senior Project Manager and cross-functional teams. This role is responsible for ensuring that critical information is effectively distributed, project documentation is properly managed, and administrative support functions are executed with precision. The Project Coordinator serves as a key communication link between customers, suppliers, and internal stakeholders, helping to maintain alignment, drive accountability, and ensure projects are delivered efficiently, on schedule, and in compliance with customer and industry requirements.
  • Communicate project status updates to customers in a clear, timely, and professional manner
  • Support the Project Manager in all aspects of customer communications and relationship management
  • Coordinate the preparation, submission, and tracking of customer approval documentation, including engineering drawings, weld procedures, inspection and test plans (ITPs), and manufacturing procedures
  • Maintain and manage milestone-based project invoicing schedules to ensure alignment with contractual requirements
  • Develop, update, and track internal project schedules to support execution and visibility across teams
  • Schedule, organize, and facilitate project meetings; capture and distribute meeting minutes and action items
  • Proactively follow up on open actions to ensure adherence to project timelines and compliance with customer and industry standards
  • Collaborate with procurement and expediting teams to support material availability and maintain supply chain schedules
  • Monitor critical path activities, including key components and subcontractor performance, and escalate risks or delays to management as needed
  • Review customer orders for accuracy prior to release to the project team, ensuring alignment with scope, pricing, and execution requirements
  • Communicate pre-established execution strategies (e.g., utilization of inventory, work-in-progress materials) from the quotation phase to the project execution team
  • Maintain accurate and organized project documentation in accordance with company and customer requirements
  • Identify and communicate potential risks, issues, and opportunities for improvement throughout the project lifecycle
  • Support the continuous improvement of project coordination processes, tools, and best practices

Education/Experience Requirements:
  • College Degree or equal experience in manufacturing industry
