The Project Coordinator / Project Manager is responsible for scheduling industrial inspections for new CAPEX projects supporting the oil and gas industry. They will implement a QA/QC program in collaboration with the Directors to communicate client job expectations to field inspectors and serve as the inspectors main point of contact for the on-the-job issues. Examples of inspection projects could include materials used for offshore oil platforms or refineries. Must live in the Houston area.
The Project Coordinator / Project Manager will be responsible for:
Inspection Scheduling and Coordination:
  • Manage detailed inspection schedules for raw materials and finished products used in offshore platforms, refinery construction, and other oil and gas construction projects.
  • Manage internal and external field technician/inspector pool through a web-based project management system, including managing availability, geographic locations, qualifications, skillsets.
  • Coordinate with suppliers, manufacturers, and inspectors to ensure timely execution of inspections.
  • Adjust schedules as needed to accommodate project changes and ensure compliance with project specifications, industry standards, and regulatory requirements.
  • Communicate with clients and key stakeholders to ensure adequate level of field inspectors both geographically and with the required qualifications/skillsets and analyze need and how quickly operations can execute on projects in the pipeline.
  • Liaison between operational leadership, field inspectors , clients, and client representatives to ensure customer requirements are met.
  • Collaborate with team members in other BV offices globally to schedule inspections of materials and finished products in other countries.
  • Ensure field inspectors meet client reporting and information expectations, maintaining accountability among workers.

Tracking Inspection Activities:
  • Monitor and track the progress of all inspection projects to ensure adherence to project timelines and milestones.
  • Maintain a centralized tracking system to provide real-time updates on the status of inspections.
  • Identify and address any potential delays or issues that could impact project schedules.

Vendor and Supplier Coordination:
  • Liaise with vendors and suppliers to communicate inspection schedules and ensure their adherence to project quality requirements.
  • Facilitate the resolution of any quality issues with suppliers, ensuring corrective actions are implemented and documented.

Documentation and Reporting:
  • Maintain comprehensive records of all scheduled inspection activities, including inspection reports, test results, and certifications.
  • Prepare and present detailed reports on the status of inspection activities to project management and client representatives.
  • Ensure all documentation is properly archived and easily retrievable for future reference.

Project Monitoring and Progress Reporting:
  • Provide regular updates and detailed reports on the progress of inspection activities to project managers and stakeholders.
  • Ensure alignment of inspection activities with overall project goals and objectives.

Accounting and Financial Oversight:
  • Validate and approve inspectors time sheets and expenses, including subcontractor invoices.
  • Collaborate with the accounting department to ensure accurate recording and reporting of inspection-related expenses.
  • Assist in the preparation of budgets and forecasts for inspection activities, tracking actual costs against budgeted amounts.
  • Review and approve invoices related to inspection services ensuring alignment with POs and contracts.

Education and/or Experience:
  • Bachelor's degree in a related field preferred; minimum of three years of relevant experience required.
  • Proficiency in written and verbal communication, with the ability to articulate complex information clearly to various stakeholders.
  • Strong reasoning ability and problem-solving skills, with the capacity to navigate abstract and concrete variables effectively.
  • Proficiency in computer operations and project management software.

Knowledge, Skills, and Other Abilities:
  • Time management, active listening, critical thinking, and problem-solving skills.
  • Ability to work independently and collaboratively in a team environment.
  • Ability to multitask and to work in multiple systems.
  • Adaptability to remote work and the ability to maintain productivity and communication from a remote location.

Qualifications:
  • Previous experience in a people scheduling and project scheduling role, preferably in a construction or engineering realm - ideally in oil and gas industry.

  • Excellent communication skills, both written and verbal.
  • Ability to work independently and prioritize tasks effectively.
