Job description

Provides support to project leadership and teams throughout all phases of construction, from preconstruction through closeout. Responsibilities include coordinating contracts and documentation, supporting compliance and trade partner communications, and assisting with project meetings and closeout requirements.

Responsibilities
  • Perform administrative duties for Vice Presidents, Project Managers, and other project team members as they relate to assigned projects, including but not limited to drafting reports, documents, meeting minutes, and timekeeping as required.
  • Assist with preparing, submitting, and managing subcontracts and associated documents in with Company policies and procedures.
  • Assist with site documentation, process and procedures from preconstruction to project closeout.
  • Disseminate corporate information to site teams as necessary.
  • Ability to interact and communicate professionally and ethically with executives, corporate staff, project teams, clients, trade partners, and other business partners.
  • Exhibit confidentiality with project and Company information.
  • Schedule and manage monthly goals meetings as directed by Vice President/Project Executive.
  • Create, distribute, and track all trade partner contracts for assigned projects to ensure timely execution.
  • Support Vice President/Project Executive with initial prime contract preparation and maintain updates as required through the duration ofcontract execution.
  • Assist Vice President/Project Executive with project closing, including coordinating with internal teams, clients, insurers, sureties, brokers, and other project stakeholders to prepare bonds and insurance for new projects.
  • Assist Vice President/Project Executive with the preparation and distribution of base bonus memo packages to project teams at the onset of each project.
  • Ensure trade partners timely provide any required bonds and process with bonding agent.
  • Order trailer supplies for assigned projects.
  • Prepare required Joint Check Agreements.
  • Provide substantial completion documentation as required.
  • Coordinate topping out parties with the project teams, as needed.
  • Process outgoing mail including Fed Ex, UPS, etc.
  • Attend all applicable team meetings, as well as required corporate meetings, training programs, and seminars/webinars.
  • Perform additional duties as assigned

Qualifications
  • High schooldiploma.
  • Minimum 5 years of administrative experience, particularly working with seniormanagement.
  • Exhibits professional attitude with team, clients, architects, subcontractors andvendors.
  • Self-starter, dependable, organized, thorough, and detail-oriented.
  • Exhibits good communication skills, both written andverbal.
  • Proficient use of MS Office Suite (Word, Excel, PowerPoint, andOutlook) and DocuSign.
  • Catina/AIA experience a plus.
  • Team player willing to assist others with jobduties.
  • Accountable for success of projectperformance.

Benefits
Harkins offers a total compensation package that includes base salary, bonus potential, and a comprehensive benefits package including health/dental/vision benefits, paid time off, retirement/401k, and Company Contribution plan. Additional benefits include life insurance, short & long-term disability, HSA/FSA, tuition reimbursement, and mileage and expense reimbursement. For this role, the base salary range is $60,000-$65,000. Compensation may varyoutside of this rangedepending on a number of factors, including a candidate's education, experience, skills, and geographic location. Base pay is one part of the Total Compensation Package that is provided to compensate and recognize employees for their work.
