Job description

The Project Coordinator inReVision'sCommercial Division serves as a central resource of knowledge on various commercial-scale projects by providing organizational and administrative support to the project team. The ideal candidate is extremely organized, detail-oriented, a proactive problem solver, and an excellent communicator. The Project Coordinator plays a key role on the project team by supporting others in the use of Procore, NetSuiteand Dynamics CRM, execution of various administrative tasks, and ensuring that contract requirements and construction milestones are met, including compliance with prevailing wage, apprentice, safe harbor and other project requirements. Primary responsibilities of this role are in the pre-construction,constructionand project closeout phases.

Position responsibilities include, but are not limited to, the following:

  • Serve as a Procore Administrator and expert resource to the project teams, Regional VPs, Branch Operations Managers, andChief Technical Officer

  • Complete data entry for project setup, and support data entry for project tracking and closeout in Procore and other systems

  • Organize and schedule project team meetings; maintain meeting minutes, as requested by project managers; follow up on action items as necessary

  • Reference Engineering, Procurement, and Construction (EPC) contracts to research or verify contract requirements, as necessary

  • Manage requests for information (RFIs) and submittals for clients in collaboration with project engineers and project managers, as appropriate

  • Review, process and support the execution ofEPCcontract change orders with project managers

  • Assist project managers in creating and updating project schedules, as needed

  • Coordinatecompliance,collectionand reviewofdocumentation for Prevailing Wage and Apprenticeship requirements forprojects, including ReVision labor and subcontractors, as appropriate, with support of ReVision's legal team

  • Support PMs in close-out process; create, review and distribute project closeout documents to relevant stakeholders, internally and externally

  • Compile and verify documentation for compliance with tax-related requirements includingas-built equipment lists, certification documents, and procurement detailsIn support of project close-out

  • Maintain project list for Builders Risk Insurance policy

  • Maintain current Certificates of Insurance (COI) for subcontractors and provideReVisionCOIs to clients as needed

  • Support project managers in approving invoices from vendors,maintaining costsand tracking profitabilityinNetSuite; collaborate with company accounting, as necessary

  • Develop project billing packages in Procore with support from project managers

  • Collaborate withPre-construction Project Manager, VP of Operations and Chief Technical Officertosupport review of project profitability,maintain construction revenue forecast and other reports

  • Develop and maintain Sunhub contentincludingmonthly reports and SOPsfor Commercial Operations team

  • Support training ofproject managers and superintendentson new policies, procedures and tools

  • Notarize documents as required

  • Other tasks as may be assigned
