Job Purpose/Summary
The Assistant Project Manager is a Project Management Office resource responsible for providing both Jira and Jira Service Management administrative support and administrative and clerical support to the PMO as assigned. This role supports PMO-managed systems and service processes through configuration and maintenance of Jira and Jira Service Management workflows, screens, and fields, management of PMO service request tracking, and onboarding of new Jira users, while also supporting PMO documentation, records management, reporting, coordination, and other day-to-day operational activities. Working under the direction of PMO leadership, the Assistant Project Manager helps ensure PMO tools, service processes, and administrative operations are organized, effective, and aligned with PMO standards.
Duties and Responsibilities
  • Configure and maintain Jira and Jira Service Management components that support PMO processes, including workflows, screens, fields, request types, forms, and related settings.
  • Manage PMO service request tracking within Jira Service Management to ensure requests are properly captured, assigned, monitored, and resolved.
  • Support onboarding of new Jira users, including user setup coordination, access support, and orientation to PMO Jira processes and service requests.
  • Assist users with Jira and Jira Service Management questions related to PMO workflows, fields, screens, and service request processes.
  • Maintain Jira and Jira Service Management documentation and support continuous improvement of configurations and workflows to improve PMO efficiency and usability.
  • Provide administrative and clerical support to the PMO as assigned.
  • Support PMO documentation, records management, meeting coordination, scheduling, and follow-up activities.
  • Maintain organized PMO files, templates, logs, trackers, and related administrative records.
  • Assist with preparation of reports, presentations, dashboards, and other PMO documentation.
  • Capture meeting notes, action items, and status updates, and support follow-up to ensure timely completion of assigned tasks.
  • Support PMO processes by tracking assignments, requests, and administrative actions to completion.
  • Maintain accurate data in PMO systems and trackers to support reporting, visibility, and day-to-day operations.
  • Monitor PMO support requests and provide status updates to stakeholders as needed.
  • Escalate issues, delays, system problems, or process gaps to PMO leadership as appropriate.
  • Contribute to consistent use of PMO templates, workflows, administrative procedures, and service processes.

Qualifications
  • Eligible to obtain a U.S. Security Clearance - U.S. Citizenship required.
  • Bachelor's degree from an accredited college or university.
  • Certified Associate in Project Management (CAPM) certification required.
  • Experience working with Jira and Jira Service Management, including configuration and maintenance of workflows, screens, fields, request types, or related settings.
  • Experience providing administrative, clerical, or operational support in a project management, PMO, or business operations environment.
  • Experience tracking service requests, assignments, records, or other operational activities to completion.
  • Strong organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to manage multiple assignments and provide timely follow-up in a structured environment.
  • Proficiency with Microsoft Office and other standard business tools.

Working conditions
  • Should be willing to work in a variety of settings as needed, including nights and weekends.
  • Employees may be called upon to participate in in-person meetings, trainings, or company functions at Knowmadics offices or other designated locations. Travel in support of business operations may also be required, and employees are expected to comply with these obligations as part of their position.
