JOB SUMMARY

KIOTI Tractor is seeking an Operations Administrator to join our team onsite in Wendell, NC. The Operations administrator supports and assists in various administrative tasks across the organization. This individual will organize and assist in all aspects of operational administrative duties and sets standards for maintaining records, logs, compliance, invoices, purchase orders, budget tracking, COIs, and training records for operations-related projects across all locations that KIOTI manages.

KEY RESPONSIBILITIES OF JOB

  • Work directly with relevant staff members across various departments and KIOTI-operated sites, including peers and management
  • Respond to all Operations-related issues and requests in a professional, efficient, and timely manner
  • Provide support to all teams in maintaining training matrices / records and back to work / certification documentation
  • Order and maintain stock in relation to the facilities management services
  • Ensure Accounts Payable (AP) cycle completion regarding invoices and payment to contractors and vendors according to department Standard Operating Procedures (SOPs)
  • Process and maintain approvals according to department SOPs
  • Assist in developing operations and maintenance policies, procedures, and work instructions
  • Provide reports accordingly regarding site conditions, area assessments, project work, and specific goals for the reporting period
  • Routinely review existing operational policies and SOPs to maintain current and accurate records
  • Maintain and track budget and spending trends. Communicate budgetary needs and constraints in a timely and effective manner to proper management.
  • Maintain inventory of supplies, tools, and consumables for on-site maintenance teams across KIOTI locations
  • Assist with compliance in all aspects of governmental agency requirements across all KIOTI locations
  • Oversee all aspects of KIOTI’s fleet pertaining to the management of driver logs, accurate and up-to-date records, registrations, purchase documents, etc.
  • Perform other related duties as assigned

EDUCATIONAL AND PHYSICAL REQUIREMENTS

  • At least two years of progressive office/operations administration or related experience required
  • High School diploma or equivalent
  • Excellent verbal and written communication skills
  • Proficient in Microsoft Office Suite
  • Excellent organizational skills and attention to detail
