Job Summary and Qualifications

The Administrative Coordinator provides comprehensive administrative, logistical, and process execution support for the Investor Relations department. This role maintains the operational infrastructure behind corporate access, earnings logistics, meeting coordination, investor communications workflows, vendor coordination, travel and events, and routine administrative processes. By improving scheduling discipline, process consistency, and execution reliability, the role supports efficient execution of recurring Investor Relations workflows and senior leadership engagement.

Major Responsibilities:

  • Provide comprehensive administrative and logistical support to Investor Relations senior leadership and department colleagues.
  • Coordinate with sell-side corporate access teams, investor contacts, senior management offices, and internal attendees to ensure meetings are scheduled, confirmed, and executed efficiently.
  • Manage calendars, meeting holds, prep meetings, debriefs, investor meetings, conference blocks, earnings prep sessions, and follow-up calls.
  • Maintain visibility into calendar conflicts, blackout periods, travel windows, executive availability, and recurring Investor Relations process timelines.
  • Manage process calendars, routing checklists, vendor timing, wire/upload coordination, confirmation receipts, and version-control logistics for earnings-related materials.
  • Coordinate flights, hotels, ground transportation, conference registration, itineraries, room bookings, site visit logistics, catering, security coordination, and on-site meeting details for Investor Relations events and senior management participation.
  • Prepare and submit expense reports in accordance with company policies.
  • Coordinate vendor setup, invoice tracking, purchase orders, renewals, subscriptions, expense processing, and related administrative follow-up.
  • Prepare and edit correspondence, presentation materials, Excel spreadsheets, charts, graphs, and brand-compliant PowerPoint presentations.
  • Enter factual meeting details into CRM systems.
  • Maintain Investor Relations distribution lists, contact lists, investor mailing lists, internal routing lists, and mailbox monitoring workflows.
  • Monitor the Investor Relations mailbox for routine inquiries, route substantive investor questions to the appropriate Investor Relations leaders or analysts.
  • Support website content uploads, posting timing, file routing, file naming, and basic link checks where needed.
  • Provide project management support for internal projects, colleague events, onboarding activities, and recurring department workflows.
  • Maintain hardcopy and electronic department records in accordance with retention policies.
  • Communicate and interact positively and professionally with all HCA colleagues and external stakeholders. - Maintain confidentiality and follow company policies for handling sensitive information.
  • Adhere to the company's Code of Conduct and Mission and Value Statement.

Education & Experience:

  • 3+ years of experience in administrative support (Required)
  • Experience supporting senior leaders and coordinating complex calendars, meetings, travel, events, and administrative workflows (Preferred)
  • Experience supporting Investor Relations, Finance, Communications, Legal, executive administration, or a related corporate function (Preferred)
  • 1+ year(s) of experience supporting website posting, or similar digital publishing workflows (Preferred)
  • Associate's degree (required) 
  • Or equivalent combination of education and/or experience 

Knowledge, Skills, Abilities, Behaviors:

  • Highly proficient in Microsoft Word, Excel, PowerPoint, Outlook, Webex/virtual meeting tools, and database or CRM systems.
  • Excellent written and verbal communication skills.
  • Ability to interact professionally.
  • Excellent organizational skills, scheduling discipline, follow-through, and attention to detail.
  • Ability to work independently, manage multiple priorities, and support time-sensitive recurring processes with accuracy and discretion.
  • Strong grammatical, proofreading, typing, and document preparation skills.
  • Ability to maintain confidentiality.
  • Proficiency in or ability to master AI software for efficiency (e.g., Microsoft Copilot, OpenAI ChatGPT), consistent with company policies.
  • Proficiency in data entry, reporting support, process tracking, and visibility tools for presentations, monitoring, and administrative follow-up.
  • Ability to lift boxes and supplies occasionally.
