What's the role?

As a Program Coordinator on the Workforce Planning team, you will be a partner to our business and to our vendors. You will manage the contingent workforce operations end-to-end from hiring managers requests for contractors, to sourcing, onboarding, and offboard them and you will lead the HR Leave Coverage program budget and invoicing that keeps it running.

You are accountable for process improvements and ongoing program health - not just task execution. You work across People + Workplace, Finance, Accounting, Legal, and IT, and you represent Etsy's needs back to our vendor partners.

This is a full-time position reporting to the Senior Manager, Workforce Planning. In addition to salary, you will also be eligible for an equity package, an annual performance bonus, and our competitive benefits that support you and your family as part of your total rewards package at Etsy.

This role requires your presence in Etsy's Brooklyn Office once or twice per week depending on your proximity to the office. What's this team like at Etsy?

The Workforce Planning team is responsible for enabling holistic workforce plans that align with our business strategy, financial plans, optimize talent resources, and ensure we have the right people in the right roles at the right time. This role is part of the wider People Programs, Insights & Workforce Planning team within the People & Workplace organization.

What does the day-to-day look like?

  • Run the end-to-end contractor request process - hiring manager intake, vendor communication, sourcing, hiring, onboarding, and offboarding - and leverage AI to continuously improve the workflow to cut cycle time and waste.
  • Partner with hiring managers to scope needs, translate them to vendors, and fill multiple concurrent requisitions with differing timelines. Coordinate interviews and support contractor issues, feedback, offboarding, and terminations.
  • Educate hiring managers on program policies, requisition entry, candidate review, and time approval in the Vendor Management System (VMS).
  • Manage vendor sourcing and recruitment operations: run recurring recruiting check-ins, handle escalations, represent Etsy's standards and needs, and hold vendors accountable for candidate quality and partnership health.
  • Manage the HR Leave Coverage Program. Partner with the Benefits team and the People Insights & Engineering team to forecast coverage needs, manage spend, and report program health to senior leaders.
  • Handle all aspects of procurement and invoicing for contingent workers. Partner with Finance and Accounting on accurate billing, timely payment, and clean program data.
  • Maintain data integrity across the contractor lifecycle in the VMS and internal documentation.
  • Collaborate with Finance, Accounting, Legal, HR, and IT across the contractor talent lifecycle. Surface risks, trade-offs, and decisions that need senior input early and clearly.

Qualities that will help you thrive in this role are:

  • 3-5 years of staffing, recruiting, vendor management, or client relationship experience, with hands-on experience in a VMS, ATS, CRM, or HRIS.
  • Experience owning a program end-to-end, including process design, stakeholder management, and continuous improvement. Strong initiative and comfort with ambiguity. You ask good questions, test assumptions, and move work forward.
  • Track record of managing cross-functional relationships, including running check-ins or business reviews and resolving escalations. Strong written and verbal communication. You distill complex topics for audiences without the context.
  • Sharp prioritization and organization. You manage competing priorities without dropping details.
  • Advanced Google Sheets (comfortable creating formulas and analyzing data). Fluent across GSuite (Docs, Sheets, Gmail, Meet, Slides).
