Title: PMO Coordinator
Location: Indianapolis, IN 46256 (Onsite)

Description:

  • Ensure that all PMO aspects of the ASPIRE Deployment are considered, understood, and followed.
  • Responsible for ensuring that the PMO deployment toolkit is adopted and all deliverables are completed.
  • This role is in close contact with the global ASPIRE Diagnostics PMO wave Lead and is a local deployment team member.
  • Support the local/site deployment lead, the local functional leaders, and the affected employees in all aspects of Project Management in managing and is accountable for owning the program management methodology and planning for the successful go-live of this deployment wave.

Tasks & Responsibilities:

  • Provides guidance, operationalizes and monitors the execution of work, constantly connecting our delivery organization
  • Supports the Wave 5a and 5b PMO in the execution of ASPIRE PMO Methodologies and Governance
  • Supports the Backlog Mgmt process and tools
  • Supports the deployment PMO activities in close collaboration with the Wave 5a and Wave 5b Wave and PMO Lead
  • Works closely with the Wave Lead and PMO Wave Lead to drive all key PMO activities associated with the project
  • Incorporates and enhances functional/project specifics to ensure milestones are properly linked to overall milestones (critical path)
  • Works closely with the PMO Wave Lead in ensuring best practices in project management are applied throughout the project lifecycle
  • Coordinates activities in order for the project and functional teams to meet established milestones
  • Supports the Change Control Process for the respective areas of responsibility
  • Ensures any additional templates and documentation management, tools otherwise not provided by the program are in place to support the teams as needed
  • Supports reporting activities and provide accurate status updates and reporting
  • Supports the execution of operational project management for the wave level activities
  • Risk, Issue, Assumptions, Decisions Management and Scope support

Schedule Management

  • Support of Status & Progress Reporting
  • Project Templates and Documentation Management
  • Supports the drive delivery of a all mandatory deliverables in time for the milestones
  • Key Contacts - Wave Lead, Wave PMO Lead & Wave OCM Lead

Who you are (Qualifications):

  • High school diploma required, Associate's or Bachelor's degree is highly preferred
  • 5+ years' experience as project coordinator
  • Project Documentation & Coordination:
  • Updating databases and project management tools (e.g Trello, Airtable, Jira)
  • Tracking project deliverables and chasing status
  • Maintaining official project documentation
  • Proven track record in the successful management of large project streams
  • Proficient in transforming data into dashboards

Scheduling:

  • Organizing team meetings
  • Tracking project milestones

Communication:

  • Fluent English language skills, both written and spoke
  • Ability to work across multiple international time zones
  • Excellent written and verbal communication skills

Interpersonal Skills:

  • Strong problem-solving skills with the ability to exercise mature judgment
  • Strong interpersonal and communication skills with a demonstrated ability to interact across multiple levels of the organization
  • Demonstrated ability to successfully direct, coordinate, and strategically integrate multiple streams of information and activities
