Job description

We are seeking an Event Coordinator to organize and support the planning and execution of company events, promotional programs, and scheduled brand activities. This position is responsible for coordinating event details from the planning stage through completion, ensuring schedules, materials, vendors, and operational requirements are organized in advance.

The Event Coordinator will work with internal teams and external contacts to keep event plans on schedule and ensure each event is properly prepared and executed.

Responsibilities include:

  • Coordinate event schedules, timelines, and logistical requirements
  • Maintain event calendars and track upcoming deadlines
  • Assist with venue coordination and event-related arrangements
  • Communicate with vendors, venues, suppliers, and other external partners
  • Confirm event dates, schedules, deliveries, and operational details
  • Prepare event plans, checklists, schedules, and supporting documentation
  • Coordinate the ordering and delivery of event materials, signage, displays, and supplies
  • Monitor event inventory and identify materials needed for upcoming programs
  • Organize transportation and movement of event materials when required
  • Coordinate staffing schedules and communicate event assignments
  • Provide team members with event details, schedules, and logistical information
  • Assist with event setup and ensure materials are positioned according to event plans
  • Monitor event activities and address routine logistical issues
  • Coordinate changes to schedules or event requirements as needed

Requirements
  • High school diploma or equivalent required
  • Associate’s or Bachelor’s degree in Event Management, Hospitality, Marketing, Communications, Business, or a related field preferred
  • 1–2 years of experience in event coordination, event operations, hospitality, marketing events, administrative coordination, or a related role preferred
  • Strong organizational and project coordination skills
  • Excellent attention to detail
  • Strong written and verbal communication skills
  • Ability to manage schedules, deadlines, and multiple event requirements
  • Experience coordinating with vendors, venues, suppliers, or external partners preferred
  • Strong time-management and follow-through skills
  • Ability to respond professionally to schedule or logistical changes
  • Comfortable working in active event environments
  • Ability to work effectively with internal teams and outside contacts
  • Proficiency with Microsoft Office, Google Workspace, scheduling tools, or similar business software
