Job description

Position Description: The Program Coordinator plays a key role in supporting Greater Fox Cities Area Habitat for Humanity housing and financial counseling programs, including the Home Buyer and Home Repair programs, as well as Almost Home. This front-facing position is responsible for understanding and clearly communicating program expectations including loan products, maintaining accurate program records, providing referrals when appropriate, and ensuring smooth coordination of services using multiple CRM platforms. The Program Coordinator will support program participants through regular communication, cycle management, and administrative support.
Key Responsibilities
Program Support & Coordination
• Conduct program eligibility screening, scheduling, communication, and program materials preparation, with particular attention to the Home Repair program.
• Manage Home Repair Program workflow from inquiry to completed application maintaining excellent records.
• Expand and maintain a community referral list to connect Home Repair program participants with trusted local resources, contractors, and partner organizations.
• Support families in the Home Buyer Program, including responding to inquiries, guiding participants through the process, and assisting with twice-yearly homebuyer cycles.
• Provide logistical and administrative support for program events, workshops, and occasional off-site meetings.
Record Keeping & Data Management
• Maintain accurate and up-to-date program records, including tracking participant progress, program metrics, and other reporting tasks across multiple CRM platforms.
• Ensure compliance with data management policies and confidentiality standards.
Program Administration
• Assist with day-to-day administrative tasks that support overall program operations.
• Organize files, communications, and resources to ensure efficient program delivery.
• Collaborate with program staff to identify and implement process improvements.
• Ability to perform opening and closing procedures as needed.
Required Knowledge, Skills and Experience
• Associate or bachelor’s degree in human services, business administration, or related field, or equivalent experience.
• Prior experience in program coordination, customer service, or administrative support preferred.
• Strong organizational skills with the ability to manage multiple projects and deadlines.
• Proficiency with Microsoft Office Suite and familiarity with CRM or database platforms.
• Excellent written and verbal communication skills.
