Job description

Program Assistant

The Program Assistant is responsible for assisting the client services department with daily administrative operations and functions and supporting the program staff in meeting client needs. HOURS: 40 hours weekly minimum or as necessary to achieve program objectives, responsibilities, and tasks. Work Schedule to include Sunday Off, Monday - Thursday 8:30 amโ€“5:30 pm; Friday 8:30 amโ€“3 pm; Saturday Off Essential Duties and Responsibilities:

  • Assist with planning and coordinating client programs, events, and activities.
  • Support program growth and development as necessary.
  • Coordinate program communications.
  • Assist with coordinating collaboration relationships between staff, clients, and community stakeholders and identify appropriate programmatic resources.
  • Schedule and organize program-related meetings and events.
  • Create and maintain program records and documents to be stored on the Public Drive
  • Assist with answering the agency's 24-hour crisis intervention hotline calls and face-to-face advocacy and intervention.
  • Provide direct and indirect advocacy, assistance, and follow-up to victims/secondary victims of domestic violence and/or sexual assault.
  • Assist with Community Awareness Events for Domestic Violence and Sexual Assault and Teen Dating Violence
  • Represent the agency in public presentations, professional training, awareness activities, and member/group coalitions.
  • Directly assist with all administrative functions within client services departments
  • Other Duties as assigned.

Qualifications:

  • Associate-level position with strong administrative skills and computer knowledge.

Education and Other Requirements:

  • Minimum of a 2-year degree or comparable experience.
  • Must pass a criminal background check, motor vehicle report, and reference checks.
  • Must have a clean driving record/automobile insurance coverage/be insurable/ have at least three years of verifiable driving experience. No more than 2 moving violations in a 3-year period for drivers over the age of 25. No more than 1 moving violation in a 3-year period for drivers ages 21-25
  • Provide proof and maintain personal automobile insurance coverage.
  • Must be 21 years of age or older
  • Ability to lift/carry/move a minimum of 40 lbs. for an extended distance.

Job-Specific Competencies:

  • Computer knowledge of programs including Microsoft Office Suite.
  • Ability to demonstrate critical thinking skills to assist with in-the-moment issues or crises.
  • Sensitivity regarding the issues of family violence and sexual assault.
  • Manage multiple tasks and prioritize changing workloads.
  • Ability to communicate effectively, both orally and written.
  • Sensitivity and awareness of domestic and sexual violence and how to remain calm in crisis situations.
