LEGAL SECRETARY Job description

Germer Beaman & Brown PLLC, an established law firm, is searching for a qualified Legal Secretary to support 1 principal attorney and 2 associate attorneys in our Insurance/Personal Injury Defense, Products Liability, and Construction teams.

The role requires working closely with team members (attorneys and paralegals) daily to keep the group organized and ensure all tasks are completed timely. High computer literacy, including strong proficiency in Microsoft Word, Excel, and Outlook, as well as excellent organizational and document management skills, are essential for success in this position. Candidates should be highly organized, dependable, self-motivated, detail-oriented, able to multi-task in a fast-paced environment, and manage deadlines efficiently.

Legal Secretaries are expected to work in a team structure and to fill in when/where needed to meet the needs of the team. (Legal Secretaries are assigned to support specific attorneys and we do not use a secretarial pool structure.)

Role Responsibilities:

  • Calendaring and scheduling;
  • Client screening and intake calls;
  • Drafting and formatting cover letters, simple correspondence, case-related documents, and other various document shells;
  • Mailing, scanning, copying, and answering telephones;
  • Electronic data organization and maintenance;
  • Time entry for attorneys' billable hours into accounting system;
  • E-filing in various federal and state jurisdictions;
  • Verbal and written communications with clients, court personnel, and other counsel;
  • Opening new matters/files and assist with conflict checks;
  • Maintaining master file lists;
  • Processing invoices and reimbursements;
  • Review bills for accuracy;
  • Contact clients for retainer payments and/or AR payments; and
  • Performing other duties as assigned by team members.

Qualifications and Skills:

  • Minimum of 3-5 years substantive legal secretarial/legal assistant work experience in a law firm environment required (civil litigation background is preferred, defense background is a plus).
  • Professional experience and proficiency of Microsoft Outlook, Word, Power Point and Excel.
  • Strong knowledge of basic legal terminology and local court procedures.
  • Proficiency with e-filing through eFileTexas (state) and CM/ECF and PACER (federal).
  • Basic/foundational knowledge of applicable Texas Rules of Civil Procedure.
  • Ability to manage multiple priorities in a fast-paced litigation environment with professionalism and flexibility.
  • Excellent written and verbal communication skills, including grammar, proofreading, and formatting.
  • High level of attention to detail, ability to work independently, maintain client confidentiality, and strong organizational skills.

Salary commensurate with experience. Health benefits include medical, dental, vision, short and long-term disability, life insurance and 401(k) plan. Onsite gym/fitness facilities and garage parking.
