Job description

Position Purpose: The Administrative Assistant for Teaching and Learning and Student Support Services provides clerical, organizational, programmatic, and operational support to ensure efficient department operations, alignment with district initiatives, and compliance with requirements. This position serves as a central point of communication and coordination between district administrators, schools, staff, families, and community partners. 

Key responsibilities include supporting departmental communications, coordinating professional learning logistics, maintaining student and departmental records, supporting compliance processes, coordinating meetings and events, maintaining calendars and documentation, assisting with payroll and additional pay processes, and supporting district initiatives connected to Teaching and Learning, Career and Technical Education, and Student Support Services.
Responsibilities
1. Communication and Coordinator
   Priority: Essential     Percent of Time: 20%
   Examples of this work include:





  • Serve as a positive relations advocate for Fargo Public Schools through communication and collaboration with staff, administrators, students, families, and community members.
  • Serve as a first point of contact for Teaching and Learning, Career and Technical Education, and Student Support Services.
  • Draft and distribute department communications, notices, agendas, newsletters, and informational materials.
  • Maintain departmental calendars and coordinate meetings and events, and manage schedules for department administrators.
  • Coordinate room reservations, meeting logistics, materials, and technology needs.
  • Prepare correspondence, reports, presentations, agendas, and meeting minutes.
  • Maintain confidentiality regarding student information, staffing, payroll, grants, and district operations.

     
2.  Clerical and Administrative Support
    Priority: Secondary   Percent of Time: 25%

    Examples of this work include:

  • Maintain shared departmental files, templates, forms, and records
  • Assist administrators and staff with day-to-day operational needs and workflow coordination.
  • Coordinate onboarding support for new staff members within T&L, CTE, and SSS.
  • Collect, compile, organize, and edit information for reports, presentations, and district initiatives.
  • Support district committees, leadership meetings, and special projects.
  • Maintain and update department websites, shared drives, and digital resources as assigned.
  • Process additional pay forms and payroll-related documentation for department activities, curriculum work, workshops, and events.


3.  Professional Learning and Event Support

     Priority: Secondary   Percent of Time: 15%

     Examples of this work include:

  • Coordinate logistics for district professional development, workshops, and training, including flights and travel reimbursements.
  • Manage participant registration, attendance, sign-in sheets, and communication with attendees.
  • Prepare professional learning materials and presentation resources.
  • Coordinate substitute requests and professional leave documentation as assigned.
  • Assist with mentor program coordination, including scheduling meetings, maintaining records, and supporting communication processes.
  • Support district-wide initiatives and events connected to Teaching and Learning, Career and Technical Education, and Student Support Services.


4. Student Support Services Support
      Priority: Secondary   Percent of Time: 15%
      Examples of this work include:


  • Support communication and coordination of Student Support Services programs.
  • Maintain accurate student and departmental records within district systems.
  • Assist with compliance timelines, documentation, audits, and reporting processes.
  • Coordinate meetings and communication with schools, families, and outside agencies as directed.
  • Maintain secure and organized filing systems for compliance-related documentation.

5. Curriculum, Instruction, and Program Support
   Priority: Essential     Percent of Time: 15%
   Examples of this work include:

  • Support Teaching and Learning and Career and Technical Education initiatives and programs.
  • Coordinate updates and communication related to curriculum documents, instructional resources, and program information.
  • Assist with maintaining records connected to curriculum writing, professional learning, and district initiatives.
  • Support coordination of district instructional meetings, workshops, and collaborative sessions.

6. Technology and Systems Support
   Priority: Essential     Percent of Time: 5%
   Examples of this work include:

  • Utilize district technology systems and platforms to support department operations.
  • Maintain accurate records within district systems, including student information systems and staff databases.
  • Support staff with questions related to district systems, forms, workflows, and digital tools.
  • Assist with maintaining digital organization and accessibility of department materials and records.

7. Other Duties as Assigned
   Priority: Essential     Percent of Time: 5%
   Examples of this work include:

  • Perform other duties as assigned to support the goals and priorities of Fargo Public Schools, Teaching and Learning, Career and Technical Education, and Student Support Services.

 
Minimum Qualifications        

  • High school diploma
  • Two or more years of related clerical or administrative experience, preferably in a school district or public agency
  • Ability to collaborate with administrators, teachers, counselors, district office staff, and community members
  • Ability to work independently while managing multiple priorities and timelines
  • Knowledge of district systems and office procedures


Preferred Qualifications

  • Minimum of three years of experience in an administrative assistant or office management role
  • Experience supporting district-level programs and initiatives
  • Strong proficiency in Microsoft Office Suite and Google Workspace
  • Experience with student information systems and district software platforms
  • Strong organizational, communication, and customer service skills
  • Ability to maintain confidentiality and professionalism in sensitive situations


This position reports to: Directors of Teaching and Learning, Student Support Services, and Career and Technical Education
Personal contact with students, staff, parents/guardians, faculty, and administrators is an essential part of the position and requires the ability to share information and must be sensitive to people and their needs. The position may handle confidential and private data.

The incumbent performs tasks under the direction of a certified teacher and responds to day-to-day needs, answer questions, and respond to emergent issues. Non-emergent issues are discussed with the Teacher or Building Principal. The incumbent takes initiative to ensure completion of all tasks and will adjust priorities to accommodate competing workload demands.  All employees must comply with department and institution procedures and policies, Fargo Public School policies and procedures, as well as local, state and federal laws, regulations, guidelines and business and industry standards.
