CIVIL SERVICE TITLE(S): Management Assistant (Competitive)

JOB DESCRIPTION:

The Management Assistant provides accounting, fiscal, and general office support to the Assistant Business Official to foster timely, accurate, and collaborative financial, statistical, and budget activities for the department.

GENERAL OFFICE SUPPORT DUTIES:

  1. Provide general office support to the Assistant Business Official and to the department such as:
  • Answering phones

  • Scheduling meetings

  • Handling/organizing paperwork and mail

  • Photocopying/faxing/scanning

  • Generating letters/labels

  • Customer service

  1. Manage contracts, affiliation agreements.

FINANCE-RELATED DUTIES:

  1. Plan, organize, facilitate, assist, and track paperwork/processes related to financial activities, including determination of budget codes on various forms, requests, and other source documentation submitted to the department. This may include (but is not limited to) the following:
  • Invoices

  • Check Requests

  • Consultant Forms

  • Extra Compensation Forms

  • Timesheets

  • Purchase Orders

  • Conference Requests

  • Company Mileage system

  • Licensure/Certification Reimbursements

  • Service Request Forms

  • Cross Contracts/89F Forms, etc.

  1. Compile, track, verify, and enter financial data with other financial records and accounting balances.

  2. Compile, prepare, and distribute financial, statistical, and expense and revenue reports, and other information as appropriate.

  3. Analyze and interpret financial operations data, make comparative analyses, study proposed changes in methods and materials, monitor, identify trends, and make suggestions/recommendations to the Assistant Business Official.

  4. Compile, reconcile and adjust the monthly billing materials for the Business Office.

  5. Coordinate IDEA flow through funding contracts, reports, and billing.

  6. Manage and reconcile service requests and Excel workbooks.

  7. Process and manage purchase orders for the procurement of services and back-up for procurement of goods.

  8. Process internal and external invoices for payment.

  9. Manage and audit paperwork for Conference Requests, assist staff with encumbering costs related to attending conferences and training, manage staff budget accounts in the mileage system for travel reimbursement.

  10. Perform other such duties as may be assigned by Administration.

QUALIFICATIONS:

Graduation from high school or possession of an equivalency diploma, plus EITHER:

A. Five (5) years of paid full-time or its part-time equivalent professional experience responsible for project or program management, office management; or program or project development and implementation;

OR,

B.Graduation from a regionally accredited or New York State registered college or university with an Associate's degree, plus three (3) years of professional experience as defined in A above;

OR,

C. Graduation from a regionally accredited or New York State registered college or university with a Bachelor's or Master's degree, plus one (1) year of professional experience as defined in A above;

OR,

D. Any equivalent combination of training and experience as defined by the limits of A, B, and C above.
