Job Description Summary:
Responsible for the operation ot the West Tennessee Healthcare Mailroom with efficiency and accuracy in compliance with United States Postal Services, United Parcel Services and Federal Express policies and procedures. Responsible for all incoming and outgoing mail, parcels and packages. Must be highly professional, ability to prioritize and meet deadline requirements. Interacts with all individuals at all levels including: employees, patients, patient family members, suppliers and community members. Additional responsibilities include ordering supplies for the shipping and receiving department and backup to receiving dept. Employee is subject to call back and overtime as required by the hospital.
ESSENTIAL JOB FUNCTIONS:
  • Weigh letters and parcels, compute mailing costs based on type, weight, destination and affix correct postage.
  • Obtain signatures from recipients of registered and special delivery mail.
  • Register, certify and insure letters and parcels.
  • Arrange insurance coverage and prepare outgoing mail.
  • Verify shipping documentation.
  • Answer questions regarding mail regulations and procedures, postage rates and post office boxes.
  • Complete forms regarding changes of address, theft or loss of mail, or for special services such as registered or priority mail.
  • Sorts incoming and outgoing mail according to departmental and destination requirements and routing mail to proper external destinations.
  • Responds to customer inquiries regarding damaged or missing items.
  • Handles returns of unidentified parcels.
  • Transports mail to and from local post offices.
  • Feeds outgoing mail into postage machine to stamp letters and envelopes.
  • Sets postage meters and calibrates them to ensure proper operation.
  • Communicates United Postal Services policy changes and government information on WTH bulletin boards.
  • Processes Material Management receiving documentation and data entry of receiving documents for accounts payable accuracy.
  • Maintains mailroom window schedule to assist customers and associates and problem solving.
  • Answers phone calls both internal and external
  • Reporting of all mail and parcel charges to accounting.
  • Basic knowledge of maintaining all postal and mailroom equipment.
  • Compilation of monthly and annual reports for administration.
  • Prepares purchase requests for postage.
  • Performs related responsibilities as required or directed.

EDUCATION:
  • High School Diploma

LICENSURE, REGISTRATION, CERTIFICATION:
  • Must have a valid Tennessee Drivers License
  • Must be insurable

EXPERIENCE:
  • Experience as acquired through 4 years experience in either postal services, or materials management.
