Patient Care Coordinator

Department: ASC or Clinic

Location: ASC or Clinic

Reports To: PCC Manager

Founded in November of 2020, Pain Physicians of Wisconsin is a group of Physicians, Nurse Practitioners, Physician Assistants, and a great group of support staff serving the southeast region of Wisconsin. Position Summary

This position is responsible for verification of information during patient registration process, direct incoming phone communication to appropriate location and person within the organization, and for the scheduling of future patient appointments. This position is responsible displaying a positive company image while providing excellent customer service to ensure a desirable visit for patients and visitors.

  1. Greet and register each patient as they arrive.
  1. Verify insurance and patient demographic information at each visit.
  1. Provide information concerning outstanding patient balances and collect outstanding funds.
  1. Collect co-pays and create patient receipts.
  1. Schedule appointments following the PPW Scheduling Guidelines.
  1. Answer a multi-line phone and transfer appropriately.
  1. Demonstrate general knowledge of ASC and clinic procedures and answers general questions related to them.
  1. Apply appropriate customer service skills and proactive communication when dealing with patients. Speak clearly and in a mature, professional manner.
  1. Maintain the patient waiting area in a neat and clean condition.
  1. Demonstrate patience, compassion, kindness and empathy. Provide clear explanations of appropriate patient-related policies and always maintain safety and dignity of patient.
  1. Ensure patient schedule by reminding provider of service delays.
  1. Assist ill or distraught patients, as necessary. Telephone taxis or family members, where necessary, for transportation. Notify ASC RN Manager or designee of difficulties.
  1. Ensure all vendors/visitors sign-in and wear appropriate identification.
  1. Responsible for incoming cash, checks and credit card receipts until balanced and deposited by manager/designee.
  1. Open and sort all office mail. Deliver outgoing mail to post office at end of day.
  1. In addition, have demonstrated competency and routinely pe1form duties in at least one of the following:
    1. Resource: Liaison between site and off-site staff and RN Manager. Responsible for day to day monitoring of workflow and scheduling in the outreach areas; act as a resource to the staff for operational issues and to any other customer who needs assistance. Work with RN Manager to assist with new locations in terms of workflow, IT equipment, contacts, and staffing.
      1. Administration: Assist site manager with duties such as time keeping, scheduling, staff evaluations, invoices, petty cash, etc. Help support corporate Quality Assessment and Performance Improvement initiatives as a member of the team.

Qualifications

  1. High School diploma or equivalent.
  1. At least five years of related experience required; preferably in a health care setting.
  1. Strong organizational, judgment, communication, and analytical skills; sometimes under pressure.
  1. Ability to promote favorable PPW image with patients, providers, insurance companies and the public.
  2. Ability to contribute to a team environment and independently, to provide excellent customer service.
  3. Evidence of leadership qualities. Frequently contributing to the improvement of the department and participate in committee participation, task force, etc.
  4. Working knowledge of Microsoft Office.
