Job description

Summary:

The Director of Policy Management provides oversight for the policy lifecycle across The Guthrie Clinic. This role ensures policies-including procedures, guidelines, and related documents-are created, approved, stored, and maintained within the designated electronic policy management system. The Director partners with leadership, subject matter experts, and IT teams to maintain system functionality and security, optimize processes, and foster a culture of compliance, safety and organizational integrity.

Key Responsibilities:

  • Policy Lifecycle Oversight
    • Manage processes for policy creation, approval, storage, and maintenance using designated policy management system.
    • Promote and support alignment with professional guidelines, best practices, and regulatory standards.
  • Policy System Administration
    • Collaborate with IT to maintain and enhance system functionality and security.
    • Oversee upgrades, permissions, and user training for policy management system.
  • Governance and Compliance
    • Facilitate policy oversight committees and monitor review cycles.
    • Identify gaps or conflicts and escalate to appropriate leadership.
  • Training and Support
    • Develop and deliver training for policy owners, approvers and other end users.
    • Provide guidance on policy management processes and system use.
  • Stakeholder Engagement
    • Partner with organizational leaders to implement tactics for policy deployment and compliance evaluation.
    • Communicate risks and improvement opportunities to leadership.

Experience:

Required:

  • 3-5 years of project management or related experience with successful implementation of system-wide initiatives.
  • Substantial experience in compliance, regulatory affairs, and healthcare administration or clinical operations.
  • Proven ability to prioritize tasks and deliver results under pressure.

Preferred:

  • 5+ years of leadership experience in hospital or healthcare settings.
  • Experience managing policy systems and facilitating organizational governance processes.

Education:

  • Bachelors Degree
  • Essential Functions:
  • Maintain integrity of policy management system, including all structured fields and configurations, approval workflows, applicability groups, and templates.
  • Provide guidance for policy teams/groups to optimize existing policies for clarity, compliance and system standardization.
  • Monitor regulatory developments and anticipate policy needs for new services or facilities.
  • Serve as key contact for policy system contract and manage departmental budget.
