Job description

Personnel Assistant

The Personnel Assistant serves as a primary point of contact for recruitment efforts, Civil Service matters and FMLA leave administration at SWBOCES. Under the supervision of the Director of Personnel, and with the support of another HR department member, the Personnel Assistant will perform the following responsibilities:

  • Prepare and post internal and external job vacancy announcements in coordination with department heads and/or hiring supervisors. Maintain repository of job descriptions with related skills profile.
  • Pre-screen resumes of interested candidates for certified and non-certified positions.
  • Serve as the point of contact for interested candidates โ€“ correspond and troubleshoot inquiries.
  • Provide technical assistance and training to staff on the organization's online recruiting and hiring platform. Support hiring supervisors navigate various online job search boards.
  • Prepare Civil Service canvassing materials and track responses. Advise hiring supervisors of Civil Service Rules as they relate to the hiring, promoting and terminating of personnel.
  • Respond to requests and inquiries from the County's Department of Human Resources on Civil Service matters. Prepare and submit appointing paperwork, payroll reports, etc.
  • Act as a liaison with the New York State Education Department on various issues (e.g. teacher certification, fingerprinting, temporary licenses, etc.).
  • Conduct onboarding sessions for all new employees. Review new hire paperwork for completion and accuracy. Enter employee information into online systems as needed.
  • Compile and analyze data from other school districts/BOCES for contract negotiations purposes.
  • Act as a liaison with employment agencies to fill salaried and temporary positions.
  • Coordinate special projects such as recruitment fairs, employee recognition programs, etc.
  • Assist in the maintenance of employee personnel files and benefits enrollment records.
  • Educate and correspond with employees on all leave-related policies and procedures. Review and approve employee applications for FMLA leaves of absence to ensure compliance with Federal regulations and SWBOCES policies and procedures.
  • Maintain records in the organization's leave administration database. Track employees' use of FMLA approved time off. Request supporting documentation as needed.
  • Perform additional responsibilities as needed.
