Foley Family Farms (FFF) is a rapidly growing West Coast company with farming in California and Oregon. The Office and Trucking Account Coordinator will work with Foley Family Farms employees and assist in all departments and compliance. 


Job Summary
The Office and Trucking Account Coordinator ensures smooth running of our company office and payroll. Contributes to Foley Family Farms team by driving sustainable growth. Additionally, they will assist with various tasks as assigned and at the discretion of the Trucking Account Specialist. 

Requirements

Roles and Responsibilities
  Keep stock of safety and office supplies and place orders when necessary.
  Assists all departments within Foley Family Farms and the Foley Family Wines & Spirits grower relations department.
  Carry out clerical duties such as answering phone calls, responding to emails, and prepare documents, including office correspondence, memos, resumes, and presentations.
  Assists with data management, record keeping, and communication related to payroll, trucking, safety, compliance, housing, winegrowing, viticulture, and grower relations.
  Payroll Responsibilities including processing payroll, auditing AgCode and Dayforce, collecting and filing timecards.
  Ensures that the compensation for overtime work is calculated at the appropriate rate and that annual leave is calculated accurately, if applicable.
  Confirms legally mandated and optional deductions have been processed correctly.
  Prepares and distributes hard copy or electronic paychecks.
  Performs all tasks well before the payroll run to ensure that staff members are compensated and notified on time.
  Addresses queries about payroll-related issues with employees.
  Works to resolve discrepancies in payments with HR.
  Manages the daily distribution of spray activity notifications to appropriate internal and external groups via email.
  Performs monthly processing of the pesticide report, ensuring accuracy and reporting in a timely manner.


Required Knowledge, Skills & Other Abilities
  Proficient in Microsoft Office programs - including Outlook, Excel, Word, PowerPoint, and Teams
  Excellent follow through and project assignment skills; ability to collaborate well with people at all levels in the company.
  Bilingual in English and Spanish required.
  Excellent verbal and written communication skills.
  Team-oriented: able to work in a multi-task team environment.
  Able to prioritize and organize, meet deadlines with accuracy, work on own.
  General knowledge of Human Resources and payroll.
  Familiarity with or ability to learn payroll software.
  Excellent data entry, data cleaning, and math skills.
  Capacity to keep track of numerous, ongoing tasks.
  Adherence to all prescribed ethical guidelines, including confidentiality.


Education & Experience
  High school diploma or GED required
  College courses in administration, payroll, and HR are preferred
  Completion of a bookkeeping or similar course is preferred
