Staff Accountant

Location: Petaluma, CA (On-Site)

About the Opportunity

We are seeking an experienced Staff Accountant to take ownership of the full accounting cycle within a growing technology and infrastructure-focused organization. This is a highly autonomous role where you will manage day-to-day accounting operations while working closely with a part-time Controller who provides oversight, month-end review, and technical guidance.
The ideal candidate is someone who takes pride in maintaining accurate financial records, thrives in an independent environment, and enjoys being part of an innovative, technology-driven industry.
Key Responsibilities

Accounts Receivable
  • Process and apply customer payments across 300-350 invoices per month using automated recurring billing workflows.

  • Monitor aging reports, manage collections, and follow up on outstanding balances.

  • Handle billing exceptions, credit memos, and account adjustments accurately.

Accounts Payable
  • Process vendor invoices and manage payment runs across 80+ active vendors.

  • Reconcile credit card transactions and ACH payments.

  • Maintain vendor records and payment terms while identifying discrepancies.

Banking & Reconciliation
  • Reconcile bank accounts, credit card statements, and petty cash across multiple locations.

  • Investigate and resolve discrepancies independently.

Month-End Close
  • Prepare and post journal entries, including accruals, prepaid amortization, and lease accounting entries under ASC 842.

  • Ensure timely and accurate month-end close processes.

Payroll & HR Coordination
  • Coordinate with payroll providers to post payroll journal entries and reconcile payroll liabilities.

Compliance & Reporting
  • Manage multi-state sales tax reporting requirements.

  • Properly classify R&D expenditures for potential tax credit purposes.

  • Generate standard financial reports for management and Controller review.


Qualifications
  • 3-7 years of full-cycle accounting experience.

  • Strong experience with Accounts Receivable, Accounts Payable, reconciliations, and month-end close processes.

  • Hands-on experience with NetSuite ERP systems.

  • Working knowledge of ASC 842 lease accounting.

  • Excellent organizational and time management skills.

  • Ability to work independently with minimal supervision.


Preferred Qualifications
  • NetSuite certification or advanced NetSuite expertise.

  • Experience in service-based businesses with recurring billing models.

  • Multi-state sales and use tax experience.

  • Familiarity with R&D expense classification for tax credit purposes.

  • Experience serving as the primary accounting resource within a small company or team.
